This position is responsible for a number of administrative and accountability-related responsibilities as they relate to the contract and subcontractor management function within the organization. This position we are currently seeking is responsible for subcontractor and vendor onboarding. Duties include data entry, system setup and Subcontractor onboarding, setup and compliance tracking.

What you'll do
  • In conjunction with other team members, manages the Subcontractor/Vendor Onboarding, Setup and Maintenance function throughout the Contractor-Subcontractor relationship lifecycle.
    1. Work with the team to ensures all required subcontractor qualification documentation and agreements, pricing agreements, insurance requirements, immigration and other regulatory compliance, etc are acquired, appropriately validated, documented, maintained and updated as required. The position we are currently seeking is primarily responsible for working with subcontractors, vendors and agents to collect and review insurance certificates and policies for compliance as well as tracking and processing policy renewals. Works with other department employees to ensure their understanding of and partnership with these initiatives;
    2. Submits subcontractor documentation to customers/engineers for their approval prior to work assignment;
  • Receives, processes, updates and maintains job subcontractor-related data, that may include but is not limited to I9 Compliance, company documents, contract and pricing agreements and certificates of insurance as it is received from the contractors through its entry into internal tracking avenues and systems per established processes. Prepares and updates processes as needed;
  • Provides Company insurance documentation to various external stakeholders as needed;
  • Communicates with other departments as necessary to facilitate customer, vendor, sub vendor and project setups;
  • Acts as back-up to other personnel in the contract management department;
  • Other duties as assigned.

What you'll need
  • High School diploma or GED.
  • Insurance and/or contractual background including 2-4 years of related job-related experience is required;
  • Proficient PDF editing and data entry skills as well as intermediate use of word processing, spreadsheet, database, internet and cloud-based software is required. Working knowledge of Google suite of applications is strongly preferred;
  • Experience working with Avetta program is preferred.
  • Experince working in SAP is preferred.
  • Ability to work independently on assigned tasks with minimum guidance
