GENERAL DESCRIPTION OF POSITIONย 

The Coordinator of Student Engagement, Operations provides operational leadership and coordination for student engagement programs, services, and facilities. This position administers key engagement systems and processes, including communications, digital platforms, event logistics, space coordination, and program data. Reporting to the Director of Student Engagement & Inclusion, the Coordinator supervises student employees and serves as a primary administrator for engagement operations, ensuring efficient processes, accurate records, and coordinated services that support a vibrant and well-organized student experience.

ESSENTIAL FUNCTIONS/ย MAJOR RESPONSIBILITIES

Operational Coordination and Administrative Support
  • Coordinate day-to-day operations for the Student Engagement & Inclusion area, including logistical planning, purchasing, supply management, and administrative processes.
  • Serve as a primary operational contact for students, staff, and campus partners, interpreting procedures and providing timely guidance on engagement processes.
  • Coordinate vendor relationships, contracts, and purchasing processes in collaboration with the Director and Assistant Directors.
  • Coordinate logistics for orientation programs, major campus events, and engagement initiatives.
  • Oversee shared office email inbox workflows and general communications, as assigned.
Engagement Technology and Systems Administration
  • Serve as the primary administrator for the student engagement platform, including user permissions, organization records, event registration, and data maintenance.
  • Maintain accurate and up-to-date records for student organizations, programs, and engagement activities.
  • Coordinate event calendars, registration systems, and digital engagement tools to support student participation and program visibility.
  • Manage campus digital signage related to student engagement, ensuring timely, accurate, and effective promotion of events and initiatives.

Event, Space, and Scheduling Coordination

  • Serve as an administrative user for the campus scheduling system, coordinating event and space reservations for student engagement programs and student organizations.
  • Advise student organizations in making timely and purposeful space and equipment reservation requests.
  • Coordinate communication with campus event partners regarding space usage, scheduling priorities, and logistical needs.
  • Provide logistical support for campus events, including occasional audio-visual setup and coordination with facilities or technology staff.
Student Employee Supervision and Coordination
  • Recruit, hire, train, schedule, and supervise student employees for the engagement office.
  • Coordinate onboarding, timekeeping, and performance feedback for student staff.
  • Develop training materials and operational procedures to ensure consistent service and continuity across student employee roles.
Budget, Data, and Assessment Support
  • Coordinate budget tracking, purchasing, and financial processes for student engagement programs and initiatives.
  • Administer campus student Boxer Card benefit programs, including tracking usage, processing invoices, and coordinating passes with external partners.
  • Collect, analyze, and maintain program data, including attendance counts and participation metrics, to support assessment and reporting.
  • Coordinate preparation of reports, program evaluations, and annual assessment materials.
Space Stewardship and Facilities Coordination
  • Coordinate access and operational readiness for engagement-related spaces, including the University Center, Transfer Lounge, Veteranโ€™s Lounge, Center for Gender Equity, Student Multicultural Center, and other assigned areas, with adjustments as programs and student needs evolve.
  • Work with campus partners to ensure spaces are functional, welcoming, and ready for programs, events, and daily student use.
  • Develop and maintain procedures for shared spaces and operational guidelines.
Cross-Unit Collaboration and Support
  • Contribute to the planning, coordination, and implementation of signature departmental events, including orientations, annual traditions, and other major campus engagement initiatives.
  • Actively promote and participate in cross-unit collaboration and cross-training among department and division staff, ensuring coordinated service delivery and shared expertise for campus-wide student programs.
  • Serve on or coordinate task forces, committees, and cross-campus working groups related to student engagement, events, leadership development, and student activities, as assigned.
  • Coordinate operational support for engagement initiatives across the division.

SECONDARY FUNCTIONS

  • Participate in Student Affairs after-hours on-call rotation as scheduled.
  • Provide ongoing guidance or intervention to students in specific cases as directed by supervisor, or through the Care Team (the universityโ€™s behavioral intervention team) or campus climate processes.
  • Serve on university and divisional committees, task forces, and hiring committees as needed.
  • Provide timely and accurate reports and information as requested.
  • Contribute to divisional strategic planning, staff training, and professional development initiatives.
  • Provide backup support to Student Affairs colleagues as needed.
  • Identify and implement innovative practices to enhance the student experience.
  • Perform other related duties as assigned.

JOB SCOPE:

The Coordinator of Student Engagement, Operations performs duties with a moderate level of professional autonomy, operating within university policies and reporting to the Director of Student Engagement & Inclusion. The position is responsible for coordinating the day-to-day operations of student engagement systems, communications, spaces, and administrative processes. The Coordinator exercises independent judgment in administering engagement platforms, interpreting procedures, and determining operational priorities. Decisions have operational and service-delivery implications and are made independently within established guidelines or in consultation with the Director, as appropriate. The Coordinator is expected to manage multiple projects simultaneously, administer complex systems, supervise student employees, and collaborate across the division and university to ensure efficient operations and effective support for student engagement initiatives.

    SUPERVISOR RESPONSIBILITY

    Supervises Support-Level Staff: This position supervises several support-level student workers, interns, and/or graduate assistant roles, and is responsible for scheduling, task delegation, and evaluating performance.

    REQUIRED EDUCATION AND/OR EXPERIENCEย 

    • Bachelorโ€™s degree
    • Minimum 2 years of experience with event support, budget, and/or student activities


    REQUIRED QUALIFICATIONS ย 

    • Excellent customer service and successful written and verbal communication with a broad and diverse audience in a culturally responsive manner.
    • Ability to maintain confidential, detailed records.
    • Proficient in the use of common office software, spreadsheets, email, databases, and electronic platforms.ย 
    • Demonstrated ability to work collaboratively with people in a wide range of roles.ย 
    • Demonstrates critical thinking skills in problem solving and decision-making.
    • Ability to build and sustain rich collaborative relationships with university staff, students, and university partners of diverse backgrounds.
    • Ability to prioritize and perform multiple projects, track data, meet timelines, respond to others in a timely manner, and work both independently and as a collaborative member of the University with a high standard of integrity and ethics, in support of the Universityโ€™s strategic vision and the divisionโ€™s annual goals.
    • Able to make independent decisions and recommendations that align with policies, rules, and procedures; ability to ask questions and seek assistance when needed.
    • Able to handle a variety of tasks in a fast-paced environment, working independently and/or as part of a team.ย 

    PREFERRED QUALIFICATIONSย 

    • Masterโ€™s degree in related field (e.g. higher education, student affairs, recreation management, event management, or similar).
    • 3 or more years of experience with event support, budget, and/or student activities
    • Supervision experience
    • Spanish language skills/abilities.


    WORKING CONDITIONSย Work Setting: This is a full-time, in-person (not remote) position based primarily on the Forest Grove Campus, with frequent work on the Hillsboro campus.


    Schedule Expectations:

    • Typically standard weekday hours (Mondayโ€“Friday), apx. 8:30-5:30, though hours may vary depending on departmental needs
    • Regular evening and weekend work
    • Recurring on-call responsibilities

    Travel Requirements:ย 

    • Frequent travel required between Hillsboro and Forest Grove campuses, as needed
    • Occasional travel for professional development (such as conferences or workshops)
    • Other occasional travel, as needed

    PHYSICAL REQUIREMENTS:

    • Medium work โ€“ involves lifting up to 40 pounds
    • Visual acuity โ€“ ability to see and interpret visual information
    • Standing and walking for extended periods
    • Repetitive hand movements such as grasping and fine motor tasks
