Job description


Whitley Law Firm is looking for an experienced Case Manager to join our Workers' Compensation team. Employees at Whitley Law Firm share a mission of obtaining the best results for our deserving clients.
The Workers’ Compensation (WC) Case Manager plays a pivotal role in efficiently managing the lifecycle of workers' compensation cases. Acting as a liaison between medical providers, vendors, attorneys, and clients. The Case Manager ensures seamless and timely communication and documentation using Case Management Software while ensuring exceptional client service throughout the client’s case.
Anticipated Schedule: Full-Time | Monday - Friday | 8:30am - 5:00pm
Key Responsibilities:
  • Case Management: Effectively managing up to 150 cases and organizing all case-related correspondence and documents from clients, courts, and opposing counsel, ensuring timely responses and comprehensive documentation. Managing cases from inception to resolution, including handling disbursements.
  • Deadline Management & Calendaring: Calendaring court deadlines, attorney meetings, service and response deadlines, and updating the calendar with hearings, client meetings, mediations, etc.   
  • Medical Records & Bills: Overseeing the collection, summarization, and maintenance of medical records and bills in preparation for mediations and hearings, ensuring all relevant records are organized and accessible, and creating an ongoing list of unpaid medical expenses.
  • Client Communication: Maintaining clear, professional, and proactive communication with clients regarding discovery requests, case updates, strategic developments, medical treatment, and benefits. 
  • Drafting: Drafting, reviewing, and proofreading, correspondence, discovery responses, motions, affidavits, and other legal documents.
  • Commission Filings: Filing forms and legal documents with the North Carolina Industrial Commission, including e-filing. Manage the service-of-process for legal documents and summonses in compliance with Commission rules.
  • Deadline Management: Tracking and managing all deadlines, including discovery timelines, responses to motions, mediations, etc.
  • Scheduling & Coordination: Coordinating and scheduling mediations, meetings with clients. 
  • Discovery Management: Preparing responses and supplementing discovery requests in a timely and accurate manner while ensuring compliance with case-specific needs and timelines. 
  • File Review & Maintenance: Reviewing case files for completeness, identifying missing documents, and ensuring the accuracy and proper filing of all case-related materials. Maintain an ongoing list of unpaid medical expenses.
  • Administrative and Additional Tasks: Copying, scanning, mailing, filing, and other administrative projects. Performing any other tasks required to support the efficient and effective management of ongoing workers’ compensation cases.
  • Preferred experience in handling depositions, hearings, and pre-trial task.
Required Skills & Abilities:
  • Excellent verbal and written communication, interpersonal, and client service skills, with the ability to de-escalate and handle client concerns as needed.
  • Must exhibit strong critical thinking and analytical abilities, with keen attention to detail and accuracy in all aspects of case management and the ability to operate both independently and as part of a team.
  • Exceptional organizational skills and time-management capabilities with the ability to effectively prioritize multiple tasks and manage a high caseload.
  • Must be fluent in English, Bilingual in Spanish is a highly preferred.
  • Strong proficiency in utilizing case management software and office technology.
Education & Experience Requirements:
  • High school diploma or equivalent required; associates or bachelor’s preferred in relevant field of study. Paralegal Certification or relevant studies preferred.
  • Minimum of two (2) years’ recent experience in North Carolina Workers’ Compensation case management, preferably working as a case manager or paralegal, or similar capacity in a law firm, personal injury law firm experience preferred.
  • At least one (1) year of demonstrated experience utilizing case management software.
