What is a specifications writer?

A specifications writer typically works in an architectural firm or on construction projects. Your job is to develop specifications to accompany architectural drawings that can assist in the installation of various aspects of the project. Specification writers set up requirements as part of the initial building plans to help prepare construction crews for what materials, tools, or design pieces may be required to complete a project safely and efficiently within the initial design of the architect. Specification writers’ responsibilities include things like coordinating with design teams, budgeting for materials, maintaining standards, design review, and scheduling.

What does a specifications writer do?

A Specifications Writer is responsible for preparing detailed written descriptions of materials, standards, and workmanship required for construction projects. They work closely with architects, engineers, and contractors to ensure that all project requirements are clearly communicated and legally enforceable. These documents help guide the construction process, ensure quality, and minimize disputes. Specifications Writers must have a strong understanding of building codes, regulations, and industry standards. Their work is essential for translating design concepts into practical instructions for builders.

What are the key skills and qualifications needed to thrive as a specifications writer, and why are they important?

To thrive as a Specifications Writer, you need a solid understanding of construction methods, materials, and building codes, often supported by a degree in architecture, engineering, or a related field. Proficiency with specification-writing software such as MasterSpec, as well as familiarity with project management and document control systems, is typically required. Attention to detail, strong written communication, and the ability to collaborate effectively with multidisciplinary teams are crucial soft skills. These abilities ensure that construction documents are clear, comprehensive, and compliant, which is essential for successful project outcomes.

How does a specifications writer typically collaborate with architects and engineers during a project?

Specifications Writers work closely with architects and engineers throughout various stages of a construction project. They attend coordination meetings, review design documents, and clarify technical requirements to ensure all project specifications align with design intent and regulatory standards. Regular communication and document exchanges are essential, as Specifications Writers must interpret technical details and translate them into clear, concise language for contractors and suppliers. This collaborative process helps prevent misunderstandings and ensures the project meets quality and compliance expectations.

Job description

Catchafire brings together government, philanthropy, business, and volunteers with the goal of bridging paths to stronger communities. We have been shifting skills and resources to communities across the country for over a decade. Every day, we help communities grow stronger by listening to what they need and making sure they get those resources. We are the leading online platform for nonprofits to connect with everyday professionals -our team has helped nonprofits create over 200 million dollars in value, with over 1 million volunteer hours donated.

Our purpose is simple: Bridging paths to stronger communities. Learn more at catchafire.org

Unfortunately, we are unable to provide sponsorship for employment at this time.

Essence of the Role

As a Senior Product Manager on our Platform team, you’ll help shape and scale the marketplace platform at the heart of Catchafire’s impact, connecting pro bono professionals with the organizations that need them most.

You will own the end-to-end product strategy and delivery for a core area of our platform, collaborating across engineering, UX, and design to ship high-impact solutions from inception to results tracking. We are doubling down on AI as a core competitive advantage: you will not only evaluate where AI and machine learning can meaningfully transform the user experience, but also pioneer new workflows and help shape a high strategic bar for AI-powered product development at Catchafire. If you are a builder who thrives on solving ambiguous, mission-critical problems with a rigorous, data-driven approach, you'll find this role both challenging and deeply rewarding. This position reports directly to the VP of Engineering.

Responsibilities
  • User Advocate: Build a strong, evidence-based point of view on how customers and end users engage with the platform and what they need to succeed, through direct research and ongoing product ownership.

  • Research & Planning: Conduct qualitative and quantitative research (user interviews, surveys, data analysis, using AI tools to accelerate synthesis) to inform the roadmap, feature backlog, and product documentation, including user stories, flows, specs, and test plans.

  • Delivery: Partner with design leads and tech leads, participate in running sprints, and hit delivery timelines, contributing to a high-functioning team culture around strong execution.

  • Results Measurement: Use analytics to track feature performance against benchmarks and business goals, and translate insights into roadmap decisions.

  • Technical & AI Leadership: Identify where AI and machine learning can meaningfully improve the product or the team's own ways of working, introduce new AI tools and workflows, and create opportunities for teammates to share practices and build fluency together.

  • Strategic Partnership: Help shape where AI capability fits into the broader platform roadmap, and operate as a strategic partner to engineering and leadership, not just an execution arm, translating technical trade-offs into business terms.

What you'll need to succeed in this role
  • Experience with marketplace platforms and/or B2B enterprise software

  • Comfortable breaking down ambiguous problems, building systems, and shipping without heavy process scaffolding.

  • 5+ years in product management, with strong data-driven prioritization, systems thinking, structured problem solving, and roadmap development, including at least one successful product launch at a growth-stage startup.

  • Technical fluency and a demonstrated ability to work effectively with strong engineering teams.

  • 2+ years of hands‑on experience designing, shipping, or iterating on AI or ML‑powered product features, with a clear point of view on when AI is, and isn't, the right solution to a problem.

  • Fluency using AI tools in your own workflow — such as research synthesis, spec writing, prototyping, and data analysis — and enthusiasm for sharing effective practices and helping teammates experiment with and adopt these tools.

  • Experience working with large, strategic, or enterprise‑level partners (e.g., corporate funders, foundations), and comfort presenting product strategy and tradeoffs directly to executive stakeholders.

  • Experience running agile sprints and experimenting with lightweight, fit‑for‑purpose processes to improve team velocity and collaboration.

  • Strong research aptitude, qualitative and quantitative, with hands‑on experience in tools like SQL, PostHog, FullStory, or Google Analytics.

  • Fast learner, comfortable picking up new tools and systems quickly, with a track record of executing in fast‑paced environments.

Competencies
  • Self-driven: You are a motivated self‑starter who navigates ambiguity with ownership. You define work clearly, proactively resolve roadblocks, and follow through to ensure projects are delivered successfully.

  • Data-driven: You make decisions backed by qualitative and quantitative research. You extract insights, challenge assumptions, and synthesize user feedback to drive actionable outcomes.

  • AI‑fluent & Forward‑looking: You have hands‑on experience building AI/ML features and can pragmatically evaluate when AI is the right solution. You integrate AI tools into your own workflow (research, specs, prototyping) and champion AI fluency across the team.

  • Strong Execution: You turn big ideas into reality. You plan, communicate, and execute effectively, balancing technical trade‑offs to optimize for both efficiency and value.

  • Collaborative: You build strong cross‑functional relationships and operate effectively with senior leadership. You elevate team output and are skilled at aligning stakeholders to create cohesive solutions.

  • Mission‑first: You are deeply committed to understanding the philanthropic sector and the unique challenges of our users. You are motivated by our vision to transform the nonprofit landscape.

  • Systems Thinker: You synthesize information rapidly and drive continuous improvement. You structure your work in a scalable, systematic way to maximize learning and team efficiency.

  • Organized & Meticulous: You manage multiple priorities effectively, maintaining excellent organizational standards to ensure high‑quality execution across all fronts.

Compensation & Benefits

The salary range for this role spans $140,000 - $150,000 annually and includes an equity component. Compensation is commensurate with experience.

Catchafire also offers a comprehensive benefits package including health, dental, and vision coverage, 401k, unlimited PTO, Stock options, and a professional development stipend.

Catchafire is a remote‑first workplace. All roles are remote full‑time (unless stated in the job description), with the expectation that the employee is willing and able to travel periodically as deemed necessary and beneficial.

We do not discriminate on the basis of race, color, religion, sex, sexual orientation, gender identity or expression, national origin, age, disability, veteran status, or any other status protected by applicable federal, state, or local law.
