What are the key skills and qualifications needed to thrive as a spare parts specialist, and why are they important?

To thrive as a Spare Parts Specialist, you need strong knowledge of inventory management, supply chain logistics, and product identification, often supported by relevant experience or technical training. Familiarity with inventory management software (such as SAP or Oracle), parts catalog systems, and order processing tools is typically required. Excellent organizational skills, attention to detail, and effective communication help you excel in coordinating with vendors and internal teams. These competencies ensure timely availability of parts, reduce downtime, and maintain operational efficiency.

Spare Parts professionals focus on managing inventory, sourcing, and supplying parts needed for equipment maintenance. Maintenance Technicians perform repairs and upkeep of machinery. While both roles support equipment operation, Spare Parts staff handle the supply chain aspect, whereas Maintenance Technicians execute hands-on maintenance tasks.

What are the typical challenges faced by spare parts coordinators when managing inventory and how can they be addressed?

Spare Parts Coordinators often encounter challenges such as maintaining accurate inventory records, ensuring prompt availability of critical parts, and dealing with supplier delays or discontinued items. To address these issues, coordinators use inventory management software, build strong relationships with suppliers, and implement regular stock audits. Proactive communication with maintenance teams also helps anticipate needs and minimize equipment downtime.

What are spare parts?

Spare parts are replacement components, subassemblies, or assemblies kept on hand to replace faulty or worn-out parts of machinery, vehicles, or equipment. They are essential for maintenance, repair, and ensuring the continuous operation of systems by minimizing downtime. Spare parts can range from small items like screws and filters to major components like engines or circuit boards. Their availability is crucial in industries such as manufacturing, automotive, aviation, and electronics.

Job description

Direct Hire | $55,000–$65,000, depending on experience

Our client, a manufacturer of specialized industrial equipment based in the Northern RI area, is hiring a Spare Parts Specialist to join their service team. This is a great fit for someone who's detail-oriented, comfortable managing multiple requests at once, and looking for a stable, direct-hire role with a well-established company.

Position Summary
This role manages the full lifecycle of parts and retrofit orders — from processing requests to coordinating repairs, returns, and shipments. You'll work closely with both customers and the corporate office to keep orders moving and issues resolved quickly. It also includes a rotating on-call component, so flexibility and reliability matter as much as attention to detail.

Responsibilities of the Spare Parts Specialist
  • Process parts and retrofit orders received by email or phone, and track outstanding offers and orders through to completion.
  • Coordinate repairs and returns, ensuring accurate documentation and consistent follow-up with customers and internal teams.
  • Communicate directly with customers and the corporate office to resolve parts-related questions and requests.
  • Pick, pack, and arrange shipments via UPS, FedEx, and other carriers as needed.
  • Provide on-call support for emergency parts requests, including one evening per week and a rotating weekend hotline (roughly once every five weeks).

Qualifications of the Spare Parts Specialist
  • Basic computer proficiency, including MS Outlook and Teams; SAP experience is a plus but not required.
  • Strong attention to detail and reliable follow-through on open requests.
  • Comfortable working in a fast-paced environment with shifting priorities.
  • Flexible and dependable, particularly around scheduled on-call and after-hours coverage.
  • Ability to occasionally lift to 50 lbs and perform light physical tasks such as standing, bending, and reaching.
