Job description

Position Summary:

The Spare Parts Coordinator will support daily spare parts operations, with a primary focus on LCAC (Light Commercial Air Conditioning), B2B customers, special sales channels, and other assigned product categories.

This position will be responsible for processing spare parts orders, responding to customer inquiries, coordinating pricing and availability, tracking order status and ETA, and supporting communication between customers, internal teams, warehouses, and factories.


The role will also provide general operational support to the Spare Parts team based on business needs and workload.


Key Responsibilities:

1. LCAC & B2B Spare Parts Order Support

  • Process LCAC warranty and out-of-warranty spare parts orders.
  • Support spare parts orders from B2B customers and special sales channels.
  • Review customer requests and confirm part numbers, quantities, pricing, and availability.
  • Create and process spare parts orders accurately and in a timely manner.
  • Track open orders and follow up on backorders and pending requests.
  • Coordinate with the warehouse to support timely order fulfillment and shipment.

2. Customer Communication

  • Respond to customer inquiries regarding spare parts pricing, availability, ETA, and order status.
  • Follow up with customers to obtain missing information required for order processing.
  • Provide timely updates regarding backorders, delays, substitutions, and other order-related issues.
  • Support special customer requests and coordinate internally to identify appropriate solutions.

3. Parts Availability & ETA Coordination

  • Check inventory availability and estimated delivery dates for customer requests.
  • Communicate with internal teams and factories regarding parts availability and supply status.
  • Follow up on urgent or critical spare parts requirements.
  • Assist in identifying replacement or substitute parts when the original part is unavailable.

4. B2B & Special Channel Support

  • Provide operational support for B2B spare parts customers and special sales channels.
  • Support high-volume or special spare parts purchase orders.
  • Assist with customer-specific requirements, including product information, packaging, labeling, and order documentation when needed.
  • Coordinate with internal departments to support new spare parts business and channel requirements.

5. Spare Parts Data & Operational Support

  • Maintain accurate spare parts and order information in internal systems and tracking files.
  • Assist with spare parts product information, including part descriptions, pricing, dimensions, weight, packaging information, and other master data.
  • Prepare and maintain order, backorder, and inventory tracking reports as needed.
  • Assist with other spare parts projects and operational tasks assigned by the Parts Supply Chain Manager.


Qualifications

  • Associate's or Bachelor's degree preferred.
  • 1–3 years of experience in customer service, order management, supply chain, logistics, spare parts, or a related field preferred.
  • Strong communication and customer service skills.
  • Good organizational skills and attention to detail.
  • Ability to manage multiple orders, customer requests, and priorities simultaneously.
  • Proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications.
  • Experience with ERP/SAP or order management systems is preferred.
  • Ability to work effectively with customers, warehouses, factories, and cross-functional teams.
  • HVAC, appliance, or spare parts experience is a plus.
