General Summary:
The primary purpose of the Space and Equipment Planner is to develop and maintain space, furniture and equipment design standards and floor plans for the organization. Develops and optimizes space utilization. Researches and specifies Furniture, Fixtures & Equipment (FF&E); works with end users to evaluate new products and their applicability. Develops project scopes, budgets, and program development and implementation plans. Manages move coordination of furniture fixtures and equipment and related service work as needed. Evaluates condition, refurbishes and plans reuse of existing FF&E. Solely responsible for the administration of the entire Bayhealth Medical Center space utilization database and provides data required for government agency reporting.
Department team members are authorized to have limited access to secured medication rooms to perform duties and responsibilities as defined in this job description. Any staff member requiring limited access to secured medication rooms must have a fully completed and signed Medication Security Agreement for Non-Licensed Personnel form on file and available upon request.
Responsibilities:
1. Responsible for coordinating with users to define and develop program and space utilization needs. Translates programming information into conceptual design documents to be used for construction and/or to be used by consultants, architects and engineers to continue the development of more detailed construction documents. Manages Design Standards coordination and compliance throughout the project, and in the creation of finish schedules. Performs drawing/submittal reviews, and variance submissions. Reviews construction drawings, specifications, and preliminary plans to ensure the project meets the program scope and needs of the user.
2. Coordinates with outside architectural firms and manufacturers to obtain samples/ hard copy/ electronic technical data for furniture, fabrics, and standard office furniture that are used for construction projects. Works with the Purchasing Department to develop project FF&E budget and track actual cost of furniture and equipment for projects. Creates spreadsheets for all furniture and equipment cost for construction projects.
3. Produces lease attachments for property management documentation.
4. Evaluates the condition and reusability of surplus FF&E for potential reuse within the enterprise. Arranges repairs and storage; incorporates reuse wherever possible.
5. Assists with Design Standards and Facilities Programming including the development of space programs, conceptual floor plans, test fits and Pre-Design reports. Provides departments with accurate and up to date plans for internal use.
6. Administrator of Bayhealth Medical Center Space Utilization database for all hospital and satellite location. Compiles and enters departmental usage, square footage, and space use data of all Bayhealth owned and leased property into the Facilities Planning software database. Generates reports throughout the year on request and for a fiscal year end summary report of all spaces leased by Bayhealth. Verify and document architectural changes, change of function or change in departmental cost centers in order to calculate square footage for government agencies and internal use for reporting.
7. Manages all quoting, procurement, delivery and repair of furniture and equipment. Assists with ergonomic assessments as required.
8. Facilitates the arrangements needed to relocate departments, including contacting moving companies, getting competitive bids, and coordinating with the end users to schedule the moves. Directs moves within the organization; employs and oversees outside move management teams and in-house staff associated with these moves.
9. Evaluates existing furniture needs, tracks, and make sure it is in good repair and meets the current Medical Centers standards. Manages the reupholstering of existing furniture on an as needed basis and for upcoming projects.
10. Responsible for all reprographic services for the department and handles requests from outside departments. Generates hardcopy drawings/reports from electronically stored data according to the format and timing of the requester.
11. All other duties as assigned, within the scope and range of job responsibilities
