Job description

Summary: The CMMS Specialist / Turnaround Planner is responsible for supporting CMMS execution, Maximo implementation, turnaround planning, shutdown readiness, and major maintenance planning activities at Seaboard Energy, with a primary focus on Hugoton. This role serves as a key site-level Maximo resource and functional support lead, helping drive system adoption, improve workflow execution, troubleshoot user and process issues, and support long-term CMMS success.

In addition to CMMS responsibilities, this role supports the planning and coordination of turnarounds, shutdowns, and major maintenance events that require longer planning horizons, detailed coordination, and execution readiness. This position is intentionally separate from normal day-to-day maintenance planning and scheduling and is focused on longer-lead planning activities, system implementation support, and major work event readiness.

This role reports directly to the Director of Maintenance Development and Systems and will serve as a key partner in improving maintenance workflow discipline, Maximo adoption, and major maintenance execution.

Primary Responsibilities:

CMMS / Maximo Support

  • Serve as the site-level CMMS specialist and primary functional support resource for Maximo users
  • Support Maximo implementation efforts in partnership with the third-party implementation team
  • Act as the Director of Maintenance Development and Systems' right-hand resource for Maximo rollout, adoption, field execution, and user support
  • Help ensure Maximo workflows are being used properly across maintenance and operations where applicable
  • Troubleshoot user issues, workflow breakdowns, data quality issues, and process gaps within Maximo
  • Support testing, rollout validation, issue tracking, and user feedback during implementation and post-go-live phases
  • Assist with user training, coaching, and reinforcement of CMMS best practices
  • Help improve work request quality, work order accuracy, status usage, required fields, coding consistency, and history capture
  • Identify recurring system and process issues and recommend improvements to increase usability and compliance
  • Support development of SOPs, job aids, quick reference guides, and standard work related to Maximo and maintenance workflow execution

Turnaround, Shutdown, and Major Maintenance Planning Support

  • Support planning and coordination activities for turnarounds, shutdowns, and major maintenance events
  • Assist with long-range planning efforts for major work scopes that require detailed coordination and extended lead time
  • Support scope development, work order setup, work list cleanup, and planning readiness activities in Maximo
  • Assist in development and organization of job packages for major work scopes, including labor, materials, contractor coordination, tools, permits, equipment access, and execution considerations
  • Help track readiness milestones, action items, risks, open issues, materials status, contractor needs, and planning progress for major maintenance events
  • Participate in turnaround and shutdown planning meetings, readiness reviews, and execution support activities
  • Support post-event closeout, documentation, and lessons learned capture for turnarounds and major maintenance work

Cross-Functional Coordination

  • Work closely with maintenance, operations, warehouse, contractors, engineering, and leadership to support successful planning and execution of major work
  • Help remove bottlenecks impacting Maximo adoption, planning quality, and readiness for shutdown and turnaround events
  • Support consistent execution of maintenance workflow expectations across functional groups
  • Escalate issues affecting system effectiveness, planning readiness, or execution success

Continuous Improvement

  • Support the ongoing improvement of maintenance work processes as Maximo is implemented and stabilized
  • Help drive standardization in work order planning inputs, workflow discipline, and longer-range maintenance readiness practices
  • Assist with KPI tracking and reporting related to CMMS adoption, data quality, planning readiness, and turnaround preparedness
  • Support the development of sustainable systems and tools that improve long-term maintenance planning effectiveness

Minimum Qualifications

  • High school diploma or GED required
  • Associate degree or technical certification in industrial maintenance, operations, engineering technology, or related field preferred
  • 3 to 5 years of Maximo experience in an industrial environment required
  • 5+ years of experience in industrial maintenance, turnaround planning, shutdown coordination, maintenance systems support, or related field preferred
  • Experience working in refining, renewable fuels, biodiesel, chemicals, oil and gas, power generation, or other heavy industrial environments preferred
  • Experience supporting turnarounds, shutdowns, outages, or major maintenance events preferred
  • Strong working knowledge of maintenance workflows, work order processes, and planning fundamentals required

Knowledge, Skills, and Abilities

  • Strong functional knowledge of Maximo and CMMS work processes
  • Ability to support CMMS implementation and drive user adoption in a field environment
  • Strong understanding of industrial maintenance execution and planning needs
  • Ability to support planning of large or complex work scopes requiring longer lead time
  • Strong troubleshooting skills related to workflow, process discipline, and user execution
  • Strong attention to detail and organizational discipline
  • Ability to coordinate across multiple departments and priorities
  • Strong communication skills with both field and leadership personnel
  • Ability to create structure, follow up on action items, and keep planning efforts moving
  • Proficiency in Microsoft Excel, Word, Outlook, and related business tools

Preferred Experience

  • Experience supporting Maximo rollout or large-scale CMMS implementation
  • Experience in turnaround or shutdown planning within a process manufacturing environment
  • Experience building work packages, tracking readiness, and supporting large maintenance events
  • Experience supporting maintenance process improvement and documentation development
  • Experience working with contractors, warehouse/supply chain, and operations during outage preparation and execution

Work Environment:Work environment is a combination of office and field settings within an active industrial facility. Role requires frequent interaction with maintenance personnel, operators, contractors, and site leadership.Periodic travel may be required based on site support and business needs.Extended work hours will be required during turnarounds, shutdowns, outages, or major maintenance events.

NORMAL WORK SCHEDULE: Days/M-F. The hours and days of work are established by departmental needs and at the discretion of management. Occasional changes in schedule may be required as special circumstances arise.
