Eastern Staffing & Recruiting is searching for a full time, direct hire Shipping and Logistics Coordinator for our manufacturing client in Endicott.  The ideal candidate will support daily shipping, logistics, documentation, and ERP transactions in a precision manufacturing environment.


Position Summary

This role is responsible for preparing accurate shipments, maintaining shipping records, coordinating with carriers, and ensuring customer and quality documentation is complete before product leaves the facility. The position works closely with Shipping, Production, Quality, Program Management, Customer Service, and Manufacturing to keep shipments moving accurately and on time.

The ideal candidate is highly organized, detail-oriented, comfortable working in an ERP system, and able to manage multiple priorities in a fast-paced environment where accuracy matters.

Experience in aerospace, defense, medical device, or another regulated manufacturing environment is preferred, but candidates with strong shipping, logistics, ERP, and documentation experience in manufacturing will also be considered.


Key Responsibilities

Shipping and Logistics

  • Prepare and process daily domestic and international shipments.
  • Generate packing slips, bills of lading, shipping labels, and required shipping documents.
  • Verify shipment accuracy against purchase orders, sales orders, customer requirements, and shipping instructions.
  • Coordinate carrier pickups, freight arrangements, shipment schedules, and tracking updates.
  • Ensure shipments are processed accurately and released on time.
  • Monitor shipment status and proactively communicate any delays or issues.


Documentation and Compliance

  • Ensure required documentation is complete and included with customer shipments, such as:
    • Certificates of Conformance, or CoCs
    • Material certifications
    • First Article Inspection, or FAI, documentation
    • Customer-specific quality documentation
    • Export documentation, when applicable
  • Review customer shipping instructions and flow-down requirements to support compliance.
  • Maintain accurate shipment records in accordance with company, customer, and quality system requirements.
  • Support documentation control and process consistency across shipping activities.


ERP and Inventory Transactions

  • Process shipment transactions accurately in the ERP system.
  • Verify work orders, inventory transactions, and shipment records before product ships.
  • Support inventory reconciliations, transaction audits, cycle counts, and physical inventory activities as needed.
  • Help maintain clean, accurate system data related to shipping and inventory movement.


Internal and Customer Communication

  • Serve as a point of contact for shipment status updates and delivery questions.
  • Communicate shipment schedules, tracking updates, and potential issues to internal teams and customers.
  • Partner with Production Control, Quality, Program Management, Customer Service, and Manufacturing to resolve shipment issues.
  • Escalate potential delays, documentation gaps, or compliance concerns before they become larger problems.


Process Improvement

  • Support improvements related to shipping accuracy, documentation quality, inventory integrity, and ERP transaction accuracy.
  • Assist with maintaining and improving shipping procedures, work instructions, and standard processes.
  • Participate in ERP, logistics, and process improvement projects as needed.


Qualifications

Required

  • High school diploma or equivalent.
  • 3+ years of experience in shipping, logistics, administrative coordination, customer service, or order processing within a manufacturing environment.
  • Experience working in an ERP system.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities, deadlines, and shipment requirements.
  • Proficiency with Microsoft Office, especially Excel, Outlook, and Word.
  • Strong written and verbal communication skills.
  • Ability to work cross-functionally with Production, Quality, Customer Service, Program Management, and Shipping teams.
  • Strong follow-through and ability to work with a sense of urgency.


Preferred

  • Experience in aerospace, defense, medical device, electronics, precision manufacturing, or another regulated manufacturing environment.
  • Experience with Infor Visual ERP.
  • Familiarity with AS9100 or similar quality systems.
  • Experience preparing or reviewing Certificates of Conformance, material certifications, FAI documentation, or customer-specific shipment documents.
  • Knowledge of customer flow-down requirements and documentation compliance.
  • Experience coordinating domestic and international shipments.
  • Familiarity with export documentation and freight coordination.
