Job description

Essential Functions

  • Supports shipping operations through the execution of the following administrative tasks:
    • Import/Export Administration
      • Upload documents to statistical process control (SPC) software for Lab/QA review
    • May create loading documents including placards, stencils and packaging documentation
    • Perform data entry regarding:
      • Shipment details and information
      • Railroad activity including generating bills of laden (BOLโ€™s), recording railcar weights, and authorize railcars entrance and exit from the plant utilizing site specific software (i.e. Rail Connect, Railmate, etc.)
    • Ensuring the consistent maintenance and organization of all shipping records (i.e. shipping instructions, inventory loading sheets, bladder charts etc.) for quality assurance and audit purposes
    • May provide absence relief for other clerks
  • Scheduled and ad hoc reporting that may include but are not limited to:
    • Ship Pack Rerun
    • Chemical/Residue/Warehouse/Supply Inventory
    • Department Metrics including but not limited to:
      • Off weight bag weights
      • Off specification material tracking
      • Onsite and inbound empties (i.e. empty hopper cars located onsite or nearby)
      • Van loading times in order to analyze arrival and duration of vehicle onsite
  • Inventory maintenance and monitoring
    • Hopper car/hopper truck inventory inspection sheets
    • Off spec materials (hopper cars/trucks, warehouse locations, IQF Tabulation)
    • Monitor and track empty hopper cars either located onsite for loading or nearby available for loading
  • Logistics
    • Schedule appointments for incoming vehiclesย 
    • Provide logistical direction for vehicle drivers assisting in plant navigation
    • Assist packing and shippers with the execution of shipping instructions (SI) requirements and special requests including hopper car/truck seal setup and van setups
    • Generate switch schedule
    • Track, monitor and update materials location
    • Generate checklists to ensure items leaving and entering in the plant are validated to comply with customer instructions; regulatory agencies directives; and according to expectations
  • Training
    • Record attendance for all training sessions (safety, process, etc.)
    • Maintain log of safety/process training
    • Provide exclusive administrative support to the Shipping Superintendent including but not limited to:
    • Resource planning for upcoming orders and product assignments
    • Communicating and executing packaging plans and changes with shipping supervisors
    • Create reminder schedule for employee reviews, procedure changes, etc.
  • Collaborate with various internal and external entities to communicate:
    • Inventory (warehouse, bagging, etc.) statuses
    • Timekeeping review and validation
    • Department processes and information
    • Carbon black sample tracking
  • Ensure adequate inventory of shipping department supplies (e.g. flexible intermediate bag container (FIBC), stencils, etc.)
  • Monitor and communicate concerns to appropriate authorities regarding inspection and repair history of hopper cars/trucks
  • Liaise between office personnel notices and department to ensure vital information is shared timely and appropriately (e.g. internal job postings, meeting schedules, etc.)
  • Perform additional duties as required by the Shipping Superintendent
