Job description


Role Overview

The Shipping Coordinator is responsible for managing all inbound and outbound documentation, ensuring accuracy within D365, coordinating inventory flow, cycle counting, and supporting warehouse operations. This role maintains compliance with DOT, Environmental Health & Safety (EHS) standards, and internal facility requirements while communicating effectively across logistics, operations, and warehouse teams.

Key Responsibilities

1. Inbound & Outbound Documentation

  • Handle and complete all paperwork for inbound and outbound shipments.
  • Confirm that all Bills of Lading (BOLs) are signed, accurate, and properly documented in D365.
  • Immediately close all shipments as they arrive or leave the facility.

2. Inventory Coordination

  • Work closely with logistics to maintain a steady flow of materials entering and leaving the facility.

3. Trailer & Storage Management

  • Manage, document, and monitor storage trailers to ensure accurate inventory tracking.

4. Issue Resolution

  • Identify, troubleshoot, and correct issues occurring during inbound or outbound processes.
  • Communicate effectively with warehouse staff, logistics, and production to resolve problems quickly and minimize workflow disruptions.

5. Compliance, Safety & Environmental Responsibilities

  • Verify all outbound loads to meet DOT requirements and other applicable regulations.
  • Ensure all shipment documentation meets compliance standards before release from the facility.
  • Comply with all Environmental, Health, and Safety (EHS) regulations, policies, and procedures.
  • Conduct daily environmental inspections of sorting and staging areas to ensure conditions meet environmental compliance standards.

6. Communication & Coordination

  • Communicate clearly with internal teams to support continuous workflow.
  • Prioritize workload to meet shipping deadlines and production needs.

Qualifications

Required:

  • Strong organizational and timeโ€‘management skills
  • Clear and professional communication abilities
  • Excellent attention to detail and documentation accuracy
  • Ability to prioritize tasks in a fastโ€‘paced environment
  • Experience with inventory systems (D365 preferred)
  • Knowledge of DOT compliance and shipping regulations
  • Strong problemโ€‘solving skills for daily operational issues
