Summary:

The Shipping Clerk at ICON Vehicle Dynamics provides essential clerical and administrative support to the shipping and logistics function. This role is primarily office-based within a warehouse environment and focuses on shipping documentation, system processing, and coordination with internal teams and carriers. Accuracy, organization, and strong system skills are critical to ensuring timely and compliant outbound shipments.


Essential Duties & Responsibilities:

  • Prepare, review, and process shipping documents including packing slips, bills of lading (BOLs), shipping labels, and export documentation as required
  • Create, process, and manage shipments using FedEx Ship Manager and UPS WorldShip
  • Accurately enter and maintain shipment data in ERP, WMS, and carrier systems
  • Verify order details including part numbers, quantities, weights, and ship-to addresses prior to shipment
  • Generate tracking numbers and ensure timely distribution to internal teams
  • Maintain organized digital and physical shipping records for tracking, audits, and compliance
  • Coordinate shipment schedules and pickup requests with carriers
  • Communicate shipment status, delays, and documentation issues to warehouse, sales, and customer service teams
  • File, scan, and archive shipping paperwork in accordance with company retention policies
  • Ensure shipments comply with company procedures and carrier requirements
  • Assist in resolving shipping discrepancies, shortages, damages, or mis-shipments through documentation review and system corrections
  • Support inventory accuracy by identifying and reporting shipment variances
  • Provide administrative support to the shipping department as needed
  • Assist with basic shipping functions such as label printing and shipment staging verification
  • Participate in continuous improvement efforts related to shipping documentation and clerical workflows
Requirements:

Preferred Education and Experience:

  • High school diploma or equivalent required
  • 1โ€“3 years of clerical, administrative, or shipping office experience preferred
  • Experience using FedEx Ship Manager and UPS WorldShip required or strongly preferred
  • Strong data entry skills with exceptional attention to detail
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Experience working with ERP or WMS systems preferred
