Position Overview


As the Fleet Service Administrator, you will be the backbone of our fleet operations. This is a dedicated, in-office clerical role focused on managing the compliance, documentation, and maintenance scheduling for our fleet of CDL Class A, B, and C semi-trucks and trailers. If you are a meticulous organizer with a sharp eye for DOT regulations and a passion for keeping things moving, we want you on our team.

Key Responsibilities:


DOT Compliance & Record Keeping

  • Regulatory Oversight: Ensure 100% compliance with all Department of Transportation (DOT) and safety requirements.
  • File Management: Organize, update, and maintain comprehensive office files, DOT records, driver logs, and medical certificates.
  • Health & Safety: Manage and track all health, safety, and incident records in accordance with company and federal guidelines.


Fleet Maintenance & Scheduling

  • Service Coordination: Schedule and track routine and emergency maintenance for all Class A, B, and C semi-trucks and trailers.
  • Logistics Support: Coordinate with mechanics and vendors to minimize vehicle downtime.


Office Administration & Clerical Support

  • Communication: Professionally manage incoming calls, emails, and daily correspondence.
  • Documentation: Handle transcription, prepare reports, create presentations, and assist with document formatting.
  • Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements.
  • Financial & Inventory Admin: Assist with basic bookkeeping, expense tracking, and monitoring/ordering office supplies.
  • Team Support: Assist team members with administrative tasks to ensure daily operations run seamlessly.


Qualifications & Skills:

  • Experience: Proven experience in an administrative or clerical role, ideally within the trucking, logistics, or fleet management industries.
  • DOT Knowledge: Strong familiarity with DOT compliance, regulations, and record-keeping requirements is highly preferred.
  • Skills: Exceptional organizational skills, high attention to detail, and proficiency in typing/transcription.
  • Communication: Excellent written and verbal communication skills.
  • Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and basic bookkeeping software.


Company Description

Work is for an industrial waterjet company based on St. Paul, MN. We use ultra high pressure water to complete industrial hydrodemolition, hydro scarification, hydroblasting, etc. projects primarily for municipalties or general contractors working on municipal projects. You will work under the direct supervision of the Iron Eagle HydroTech Program Manager.
