Position: Corporate Administration Manager

Location: Mechanicsburg, PA (Onsite)

Schedule: Monday-Friday, 8:00AM-5:00PM (Full-Time)

Job Summary:

As the Corporate Administration Manager at West Shore Home, you will oversee executive and office administration, vendor and purchasing activities, employee access and badging, corporate event support, and other administrative services. In partnership with Human Resources, this role also coordinates HR communications, manages the HR calendar of events and key deliverables, tracks and maintains employee and organizational data, supports reporting and special projects, and helps ensure HR initiatives are executed accurately and on time.

  • Manage and administer the company’s print/uniform platform including uniforms and the employee store as well as keeping the store website up to date and relevant.
  • Manage badging and access for all employees.
  • Manage and oversee relationships with Office Depot, Amazon, FedEx, DoorDash and Nestle.
  • Provide direct leadership, work direction, coaching, development, and performance management for corporate administrative professionals and the corporate barista; ensure appropriate coverage and consistent service standards across the team.
  • Establish priorities and workflows for the Corporate Administration team, balancing planned responsibilities with time-sensitive requests and changing business needs.
  • Serve as a point of contact for Human Resources communications, including organizing communication requests, maintaining distribution schedules, proofreading materials, coordinating approvals, and helping ensure communications are timely, accurate, and appropriate for the intended audience.
  • Own and maintain the HR calendar of events, communications, programs, deadlines, and key milestones; proactively identify conflicts, dependencies, upcoming needs, and required follow-up.
  • Track, maintain, and organize employee, organizational, and HR program data; perform quality checks and reconcile information to support accurate reporting and decision-making.
  • Prepare and maintain recurring trackers, reports, presentations, meeting materials, and other documentation for HR leadership; follow through on action items and deadlines.
  • Coordinate logistics and administrative support for HR programs, employee events, leadership meetings, summits, recognition activities, and other company initiatives from planning through execution.
  • Maintain strict confidentiality regarding employee, Human Resources, executive, and other sensitive company information.
Education
  • Minimum of 5 years’ experience in Executive Administration or related field.
Experience
  • Prior relevant management experience, including coaching and training.
  • Experience in interacting with Executive team leaders.
  • Experience in audit and oversight, along with policy adherence.
Skills, Knowledge, and Abilities
  • Driven, motivated, self-starter who does not need daily direction or coaching.
  • Demonstrated success working in a team environment on multiple projects with changing priorities with the ability to work both on a team (as member and/or leader) and independently to deliver results.
  • Demonstrated ability to work with urgency, think quickly, and make sound decisions in a fast-paced environment with changing priorities.
  • Exceptional attention to detail, organization, and follow-through, with the ability to maintain accuracy while managing a high volume of work.
  • Strong judgment and discretion with demonstrated ability to handle confidential employee, executive, and business information appropriately.
  • Strong written and verbal communication skills, including the ability to proofread, organize information, and tailor communications for different audiences.
  • Strong proficiency with Microsoft Office applications, particularly Outlook, Excel, PowerPoint, and Word; experience maintaining trackers, calendars, reports, and shared documentation.
  • Ability to organize and analyze employee or operational data, identify discrepancies, and maintain accurate records and reporting.
  • Demonstrated ability to prioritize competing requests, appropriately delegate work, and ensure deadlines and service expectations are met.
  • Must have a valid smart phone or smart device to log in to Company required systems using two-factor authentication.
