As a purchasing agent, you will be responsible for procurement activities, including sourcing, contracting, and order processing.
The ideal candidate will have:
  • Strong attention to detail to accurately review purchase orders and vendor documentation and identify discrepancies early on.
  • Excellent organizational skills with the ability to handle multiple requisitions, suppliers, and deadlines simultaneously.
  • Ability to prioritize competing requests and track orders from requisition through payment and delivery.
  • Demonstrated confidence and professionalism during vendor and customer interactions with the ability to communicate clearly and effectively.
  • Proven ability to build productive relationships with vendors, internal stakeholders, and cross-functional teams.
  • Integrity and ethical judgement ensuring confidentiality and adherence to procurement policies and processes, and ethical standards.

You will be responsible for:
  • Processing purchase requisitions and purchase order
    • Receiving, analyzing and processing purchase requisitions, including reviewing item description, model number, vendor, quantity, terms, price, delivery requirements, approvals, account codes, etc.
    • Ensuring that goods or services are accurately ordered in compliance with company policies.
    • Handling purchase order related issues, including late deliveries, back orders, damaged products, invoice disputes, vendor name change, etc.
  • Sourcing (quotes, bids, proposals)
    • Issuing routine and complex Request for Quotes (RFQ), Invitation to Bids (ITB) and Request for Proposals (RFP) as required.
    • Facilitating process to obtain comparable bids to procure goods or services in an accountable and timely manner.
    • Providing specification and vendor identification assistance to customers.
    • Identifying, analyzing and recommending cooperative contracts as applicable.
  • Processing and maintaining purchasing documentation
    • Processing a variety of purchase-related documents (i.e., requisitions, purchase orders, quotes, bids, proposals, work purchase agreements, contracts, and certificates of insurance).
    • Maintaining appropriate records for lifecycle of procurement in accordance with company policy.
    • Reviewing contractual language received for any obligations or risk to company and engaging legal review as appropriate.
  • Providing training and purchasing support
    • Educating and training employees on purchasing system use, ordering and procurement policies and procedures.
    • Providing purchasing support to customers needing assistance in sourcing goods or services or in resolution of issues.
    • Serving as project lead on procurements, leading the team through the procurement process from need identification to close-out.
  • Managing vendor relations and completing marketplace benchmarking
    • Managing vendor relations and conducting periodic reviews of vendor performance.
    • Evaluating current pricing of goods and services in the marketplace to ensure the company's purchase prices are aligned with market standards.
