The Project Controls Analyst supports the financial health of STV Buildings' project portfolio by maintaining accurate financial data in Deltek Vantagepoint, generating actionable project-level reports, and partnering with Project Managers across disciplines to track budget, cost, and schedule performance. This is a hands-on, high-visibility role that sits at the intersection of finance and project delivery. The Project Controls Analyst serves as the operational hub between Project Management, Operations, Finance, and Resource Management. The position is responsible for ensuring accurate project forecasting, standardized PM reporting, and proactive workforce planning by leveraging Deltek Vantagepoint to provide leadership with actionable insights into project performance, staffing demand, and portfolio health.
Key Responsibilities
• Set up and maintain project records in Deltek Vantagepoint, including charge structures, budgets, and billing terms
• Prepare monthly project financial reports covering revenue, cost, and fee-at-completion projections by phase and discipline
• Track budget-to-actual variances and provide PMs with clear burn-rate and fee-to-spend analysis
• Develop and maintain Estimate at Completion (EAC) models for active projects across all phases
• Coordinate accounts receivable activities, including invoice preparation, tracking, and follow-up on outstanding billings
• Review timesheet entries and labor allocations for compliance with project charge structures and contract terms
• Support Project Managers with ad hoc financial analysis for scope changes, task orders, and contract modifications
• Assist with cross-discipline financial data coordination, ensuring consistent reporting across architecture, engineering, and subconsultant scopes
• Support the annual financial audit process by preparing project-level documentation and reconciliation schedules
• Develop and maintain financial dashboards and reporting tools to improve project visibility across the portfolio
• Develop and maintain 3-, 6-, and 12-month staffing forecasts by discipline using Deltek Vantagepoint.
• Produce weekly resource demand versus available capacity reports.
• Partner with Project Managers to maintain accurate project schedules, labor forecasts, and remaining effort.
• Monitor project health through schedule, financial, and resource metrics.
• Identify future staffing shortages or underutilization and provide recommendations to Area Leadership.
• Standardize project reporting across all PMs and disciplines.
• Support monthly portfolio review meetings by preparing project performance and staffing reports.
Qualifications - Required
• Bachelor's degree in Accounting, Finance, Business Administration, or related field
• 5+ years of project controls, project accounting, or financial analysis experience in an architecture, engineering, or construction environment
• Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP/XLOOKUP, and financial modeling
• Hands-on experience with Deltek Vantagepoint or a comparable project-based ERP (e.g., Deltek Vision, Ajera, BST Global)
• Strong analytical skills with the ability to translate financial data into clear, actionable insights for non-financial project staff
• Excellent written and verbal communication skills; ability to work effectively across disciplines and with senior leadership
Qualifications - Preferred
• Familiarity with Earned Value Management (EVM) methodologies and percent-complete revenue recognition
• Experience with data visualization tools - Power BI or Tableau strongly preferred
• Prior experience in an architecture or engineering firm with multi-phase, multi-discipline projects
• Knowledge of federal and municipal contract structures (e.g., IDIQ task orders, cost-plus, lump-sum)
