Job description

Executive Secretariat Support

Premier Enterprise Solutions is seeking Executive Secretariat Support to provide correspondence control and training; tasking and tracking management; records management, filing and archiving; mail distribution; and courier service; electronic initiatives support; audit program support; and related Executive administrative support. Customer impact is both internal and external, encompassing the OUSD(I&S), Secretary of Defense, Deputy Secretary of Defense, OSD Components, Joint Staff, Combatant Commands, the Military Services, the Executive Branch Agencies, Congress, and the public.

Executive Secretariat shall employ master expertise in the areas of team management, office management, administrative expertise, critical/creative thinking, strategic management, flexible problem solving, time management, editing/proofing/revising skills, agility in addressing competing priorities, matters of protocol and engagements with senior leadership.

Location: Washington D.C.

Specific tasks include:

Records Management Liaison Support:

  • The Executive Secretariat shall support the planning, development, and maintenance of a user-friendly, effective file system compliant with Department regulations. Administrative Instruction 15 (AI 15) will be the basis for the development and governance of paper files and archives for the OUSD(I&S).
  • The Executive Secretariat shall develop and maintain an electronic mail distribution plan for all OUSD(I&S) outgoing correspondence. The plan shall include electronic addresses, as well as physical mail addresses with POCs-to support delivery of both unclassified and classified materials.

Correspondence Support:

  • Develop and maintain correspondence templates for the on-line availability on all three networking levels.
  • Support the management of the SOPs effort through facilitating the coordination of SOPs, writing, and reviewing SOPs, and ensuring SOPs are coordinated through the approval process.
  • Prepare Executive Secretariat and other EA&M correspondence

Tasking and Tracking Management Support:

  • The Executive Secretariat shall be responsible for support, distribution, tracking and status of security review requirements, Privacy Act program requirements, Freedom of Information Act (FOIA) taskings, Inspector General (IG) /General Accounting Office (GAO) taskings, Litigation Cases and other similar subject taskings.

Front Office Support:

  • The Executive Secretariat will provide physical support coverage to the OUSD(I&S) Front Office during periods where manning is negatively impacted due to outages or limitations of availability for current staff. The Executive Secretariat shall cross-utilize staff in order to support this task
  • The Executive Secretariat will provide administrative support to the OUSD(I&S) Front Office on specified projects or tasks

Education:

  • Minimum of a Bachelor's degree is required

Experience:

  • Minimum 6 years of Executive Secretariat experience required
  • Proficiency with CATMS required (Correspondence and Task Management System)

Clearance required:

  • Top Secret / Sensitive Compartmented Information (TS/SCI) Clearance
