Job description

School Operations CoordinatorNE- Temporary 6 monthsย 

Pay- 60-72kย 

Hours: M-F 6am- 3pm --- 6am (taking late calls)ย 

Location: Between Andover MA and Stoughton MA

General Responsibilitiesย 

ย 

The School Operations Coordinator is the primary role responsible for schedule, staffing, and overseeing block schedule implementation across the school program.ย  They ensures that school staffing meets regulatory requirements, staffing needs are met daily for each program, and each program's block schedules reflect the daily staffing.ย  Other duties will be determined as this is a new position.

Melmark New England serves children, adolescents and adults with autism spectrum disorders, acquired brain injury, neurological diseases and disorders, comorbid mental health disorders and severe challenging behaviors.ย  Populations served are intensely physically challenging.ย  The School Operations Coordinator position requires that staff be aware that students who are served may exhibit aggressive and/or self-injurious behavior. Students served may have had multiple treatment failures prior to this placement.ย 

ย 

All employees must achieve satisfactory performance in orientation and onsite training before assuming full ability to complete essential functions. Failure to successfully pass orientation and onsite training can/will result in termination of employment.

All staff are expected to adhere to Melmark's Code of Conduct and Standards of Professionalism included in the Employee Handbook.ย  In addition, all management/supervisory positions are expected to adhere to Melmark's Management Competencies included in the Employee Handbook.ย  It is the responsibility of each staff member to read and familiarize themselves with the contents of the Employee Handbook and ask questions relative to the application of these standards in the workplace if unclear to the employee.

Essential Functions


  1. Reports on duty at assigned time; reports absence as far in advance as possible, but in no case later than normal reporting time.

  2. If resigning from the position, all positions require a minimum of four weeks' notice.ย  Management positions are required to give additional time dependent on the size and scope of the position but six weeks would be considered minimum.ย  Melmark New England retains the right to refuse professional reference except as legally required to those employees who do not give proper notice.

Program Management and Organization

ย 

Development and Implementation of Staff Schedules

ย 

3.ย ย ย ย ย  Ensures all school shifts have supervisory coverage and maintenance of appropriate staff: student ratios.ย 

ย 

4.ย ย ย ย ย  Ensures the transport schedule is posted no later than the 15th of the current month for the upcoming month.

ย 

5.ย ย ย ย ย  Documents changes to the schedule immediately as changes occur (hardcopy posted at house and on the server).

ย 

6.ย ย ย ย ย  Schedules each staff per their job description while maintaining equality and fairness in the development of the transport schedule for all staff.

ย 

7.ย ย ย ย ย  Works to fill all open shifts in a timely manner.

ย 

8.ย ย ย ย ย  Provides on call coverage from Monday through Friday for staffing purposes.

ย 

9.ย ย ย ย ย  Documents and monitors all calls received when on call, maintain snow schedule, management of overtime, and vacation requests.

ย 

10.ย  Completes on-site interviews as needed.

ย 

11.ย  Updates staffing patterns as needed.

ย 

12.ย  Works with Senior Director of School Services to coordinate transfers between the residential and school settings.

ย 

13.ย  Schedules transportation shifts weekly between school & residence.

ย 

14.ย  Coordinates & schedules quarterly transport training refreshers for school staff.

ย 

15.ย  Schedules new staff training for transport at the residences.

ย 

Oversight of Block Schedule Implementation

ย 

16.ย  Ensures that block schedules are updated daily to reflect the current staffing patterns within the house.

ย 

17.ย  Works to ensure that programs are consistently maintaining high level of completion of daily block schedules, running programs minimally 5x per week.

ย 

ย 

ย 

Basic Qualificationsย 

ย 

Education/Training: ย Minimum of a Bachelor's Degree in Education, Human Service Field, or Psychology.

ย 

Certifications/Licensure:ย  A valid US driver's license and a minimum age of twenty-one (21) years old.ย  Must be capable of attaining approved Melmark driver status.ย  Must meet Massachusetts Criminal Offender Record Information (CORI) background check requirements. Successful completion of employer provided certification in CPR, First Aid, Crisis Intervention, and Melmark's Orientation Program and New Hire Onsite training program.

ย 

Skill(s):ย  Must demonstrate strong reading, written and oral language skills.ย  Strong teaching skills with emphasis on students who are emotionally, behaviorally, physically and/or developmentally challenged.ย  Experience or interest in the principles and application of Applied Behavior Analysis, curriculum and special education (Autism Spectrum Disorders).ย  Strong interpersonal skills are required.ย 

ย 

Experience:ย  Prefer at least two (2) years experience with related populations.ย  Advanced skills in educational and clinical services will be required in this role.

ย 

Interrelationships: ย Individuals served, families, Lead ABA Counselors, Residential ABA Counselors, School Services staff and all other departmental staff.
