Job description

St. Joseph Catholic School is hiring for a Part-Time School Administration Assistant.
This position serves as a welcoming first point of contact for families and visitors, ensures smooth office operations, and provides administrative support for admissions and development initiatives. This role requires strong organization, attention to detail, and a commitment to the school’s mission.
Job Responsibilities:
  • Serve as the primary point of contact for the school office, greeting visitors and answering phones in a professional and welcoming manner, maintaining protocols of school security identified by the school
  • Manage daily student attendance records and student and guest sign-in/sign-out processes with accuracy
  • Provide administrative support to the principal, teachers, and staff
  • Maintain student files, records, and databases in accordance with school policies
  • Maintain student health records, including annual report submission to state database and organization of forms/medication for school field trips
  • Support students throughout the school day, including attending to students’ needs when the school nurse is not available
  • Assist with school communications, including newsletters, emails, and announcements
  • Maintain a log of parent volunteers, including ensuring parent volunteers meet necessary qualifications
  • Support lunch and recess monitor schedule
  • Monitor staff attendance, securing substitute teachers when needed
  • Coordinate and support school events, meetings, and activities
  • Handle incoming and outgoing mail, deliveries, and general office correspondence
  • Maintain collection of office supplies and ensure the office environment is organized and efficient
  • Assist with tuition records, forms, and other clerical tasks as needed
  • Respond to parent inquiries and direct concerns appropriately
  • Uphold confidentiality and professionalism in all interactions
  • Support the school’s mission by modeling Catholic values
  • Oversee Latchkey responsibilities including scheduling and staffing
  • Perform all other duties as assigned

Preferred Qualifications:
  • Prior office or administrative experience, preferably in a school setting
  • High school diploma required; associate’s or bachelor’s degree preferred
  • Willingness to support the mission of St. Joseph Catholic School and Catholic education
  • Proficiency in office software (Google Workspace, Microsoft Office, student information systems (FACTS or similar))
  • Strong organizational, communication, and interpersonal skills
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
  • Experience handling confidential information with discretion
  • Ability to work collaboratively with faculty, staff, parents, and parish community
