Job Summary:
As an Administrative Assistant, you will be the first point of contact for clients and play a key role in keeping the office organized, efficient, and client-friendly. You’ll handle phone calls, schedule appointments, support back-office operations, and assist financial advisors. Strong communication skills and computer literacy are essential. Key Responsibilities:
Greet clients and answer incoming calls in a professional, friendly manner
Schedule meetings, manage calendars, and confirm client appointments
Handle emails, data entry, and digital document management
Assist with client onboarding, paperwork processing, and file organization
Prepare client folders, reports, and follow-up communications
Maintain CRM and financial planning systems with accurate and up-to-date information
Support marketing activities including email campaigns, newsletters, and client outreach
Coordinate with financial advisors to ensure smooth client service
Handle confidential information with discretion
Provide general administrative support to the office as needed
Qualifications:
1–3 years of experience in an administrative, receptionist, or customer service role
Excellent verbal and written communication skills
Strong computer literacy, including Microsoft Office (Word, Excel, Outlook) and basic familiarity with CRM or database systems
Detail-oriented, organized, and proactive with strong time management skills
Comfortable with multi-tasking and working in a fast-paced environment
Professional demeanor and strong interpersonal skills
High school diploma required; associate or bachelor’s degree preferred
