Job description

Job Summary:

As an Administrative Assistant, you will be the first point of contact for clients and play a key role in keeping the office organized, efficient, and client-friendly. You’ll handle phone calls, schedule appointments, support back-office operations, and assist financial advisors. Strong communication skills and computer literacy are essential. We’re looking for someone eager to learn and grow with the company.

Key Responsibilities:

  • Greet clients and answer incoming calls in a professional, friendly manner

  • Schedule meetings, manage calendars, and confirm client appointments

  • Handle emails, data entry, and digital document management

  • Assist with client onboarding, paperwork processing, and file organization

  • Prepare client folders, reports, and follow-up communications

  • Maintain CRM and financial planning systems with accurate and up-to-date information

  • Support marketing activities including email campaigns, newsletters, and client outreach

  • Coordinate with financial advisors to ensure smooth client service

  • Handle confidential information with discretion

  • Provide general administrative support to the office as needed

Qualifications:

  • 1–3 years of experience in an administrative, receptionist, or customer service role

  • Excellent verbal and written communication skills
