Job description

Job Title: Home Care Scheduler / Staffing Coordinator

Position Summary
We are seeking a highly organized and customer-focused Home Care Scheduler / Staffing Coordinator to manage daily operations related to client scheduling, caregiver staffing, and office communications. This role is responsible for coordinating care services for 80+ clients, ensuring appropriate staffing coverage, managing authorizations, and serving as a primary point of contact for both clients and employees. The ideal candidate thrives in a fast-paced environment, has excellent communication skills, and can effectively balance multiple priorities.

Key Responsibilities

  • Manage and maintain daily, weekly, and monthly schedules for 80+ home care clients.
  • Coordinate caregiver assignments to ensure all client visits are staffed appropriately.
  • Monitor schedule changes, call-offs, and last-minute staffing needs while maintaining continuity of care.
  • Manage and track client service authorizations to ensure services are delivered within approved limits.
  • Communicate regularly with clients, family members, caregivers, and referral sources regarding scheduling and service needs.
  • Answer and manage incoming phone calls during business hours, providing exceptional customer service and resolving concerns promptly.
  • Conduct caregiver interviews and assist with recruiting activities as needed.
  • Collaborate with management to address staffing challenges and operational needs.
  • Maintain accurate scheduling, employee, and client records within agency software systems.
  • Participate in the agency's on-call rotation, responding to after-hours scheduling and staffing issues several days per week.
  • Assist with administrative tasks and special projects as assigned.

Qualifications

  • High school diploma required; associate or bachelorโ€™s degree preferred.
  • Previous experience in home health care, healthcare scheduling, staffing coordination, or customer service preferred.
  • Strong organizational and time-management skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills.
  • Proficiency with computer systems, scheduling software, and Microsoft Office applications.
  • Ability to work independently while maintaining a high level of accuracy and attention to detail.
  • Professional demeanor and commitment to providing outstanding customer service.
