How you’ll make an Impact  

The Marketing Operations Specialist, is the hands-on execution owner for Ntiva's marketing channels responsible for getting content, social, and email staged, built, and out the door across the marketing calendar. Day to day, that means staging and publishing content, building campaign pages and basic forms, drafting short-form copy when needed, and coordinating the timelines and assets that keep campaigns moving — working across HubSpot, Canva, social schedulers, and other marketing systems. It suits a self-sufficient, well-rounded digital marketer who can execute independently against provided specs and strategy. 

Summary of Location and Hours 

  • This is a remote position; however, team members should be willing and able to travel if the need arises, though such travel is expected to be infrequent. Candidates with proximity to one of our Centers of Excellence are preferred (Lombard, IL; McLean, VA; Shreveport, LA; Overland Park, KS). 
  • Monday – Friday, 8am-5pm CST or EST 

 
What you will be doing 

  • Content Operations: Coordinate, schedule, stage, and QA content across platforms; blogs, web pages, video uploads, social media, and email in HubSpot against the editorial calendar and provided specs, and publish across all channels. Assist with executing emergency client communications as needed. 
  • Campaign Build & Execution: Configure and run marketing campaigns, including emails, basic forms, workflows, and automation sequences. Build audience segments and lists to spec and build and stage campaign and landing pages within established HubSpot drag-and-drop webpage templates.  
  • SEO/AEO Support: Assist with SEO/AEO implementation tasks to ensure Ntiva is discoverable in popular search engines and AI chat tools. 
  • Website Maintenance: Regularly update and maintain the HubSpot-built website, keeping pages current and functioning within existing templates (content updates and fixes).  
  • Basic CRM Maintenance & Sales Support: Perform routine CRM maintenance such as de-duplicating records and configuring new users and assist the sales team with troubleshooting basic CRM tasks.  
  • Collateral Production: Assist in producing presentation decks and one-page sheets and other marketing documents from provided content and direction, using brand templates in Canva, PowerPoint, Adobe Creative Suite and related tools. 
  • Project Coordination: Maintain campaign timelines, the work board, and cross-functional asset flow; run status and coordination, keep contributors aligned, and surface blockers early. 

You’ll be successful in this role if you have 

  • Minimum of 3-5 years in sales or marketing operations, preferably in a technology-driven environment working at mid-to-enterprise-sized business. 
  • Proficiency in setting up marketing automation, creating sales and marketing operations workflows, creating accurate reports, content staging, and CRM database management. 
  • Hands-on experience using HubSpot to build, manage, and optimize marketing campaigns, workflows, forms, landing pages, lists, and CRM data. 
  • You’re able to independently work with sales professionals and executives, to help troubleshoot and address various CRM adoption challenges. 
  • You’re not afraid of learning how to use AI in your job. 
  • Experience with Windows, Microsoft Office Suite and graphic design tools. 
  • Proficiency in reporting, with a flair for presentation and storytelling. 

 
Required language skills 

  • Ability to communicate professionally, in English, both written and orally. 
  • Ability to write business correspondence and basic process documentation. 
  • Ability to effectively present information and respond to questions from groups of managers, clients, and the general public. 
     

Bonus points for 

  • Bachelor’s degree in Marketing, Business Administration, or a related field 
  • Certified in HubSpot Marketing Hub, Sales Hub, CRM, and other related tools for sales and marketing operations 
  • Experience with basic graphic design (Adobe Photoshop, Adobe InDesign, Canva, etc.). 
  • Exposure to lean/agile operational concepts, or a strong passion for operational excellence/systems thinking mentality. 
  • Basic front-end website coding experience including through the use of AI to solve simple html/css challenges.

The base pay range for this position is expected to be between $70,000 and $80,000 per year. The base pay offered may vary depending on multiple non-discriminatory factors including, but not limited to, market location, job-related knowledge, skills, and experience. The total compensation package for this position also includes medical benefits, 401(k) eligibility, and PTO. Additional details of participation in these benefit plans will be provided if an employee receives an offer of employment.

This includes following Ntiva’s IT User and Security Policies that include but are not limited to password-protecting all equipment, keeping confidential and proprietary documents secure, refraining from using public Wi-Fi, having adequate arrangements in place to avoid significant interruptions from caregiving responsibilities during work hours (except in emergency situations with manager approval). Any remote work away from a team member’s normal expected dedicated safe workspace must be requested by team member, is subject to review by management, and must adhere to Ntiva policies and procedures.
