Description

 The Sales Operations Specialist is a critical member of the Design House team, supporting the full order-to-cash process while ensuring exceptional service to customers and sales partners. This role serves as the central point of coordination between sales, operations, warehouse, product, and customer teams to drive accurate order execution, timely communication, and efficient business processes. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, collaborative environment.

Responsibilities:

EDI & System Administration

  • Monitor EDI transactions to ensure pricing, inventory, purchase orders, order acknowledgements, and related documents are transmitted accurately.
  • Maintain customer account information, pricing structures, and operational data within the ERP system.
  • Manage customer information and communications within external customer portals.

Order & Customer Support

  • Process and manage customer orders, including manual entry of non-EDI orders into NetSuite. 
  • Coordinate with warehouse teams to ensure accurate and timely order fulfillment. 
  • Manage customer communications regarding order status, ETAs, returns, and cancellations. 
  • Handle inbound customer inquiries and provide timely issue resolution.

Sales & Quote Administration

  • Prepare and manage formal and informal customer quotations for distribution, construction, and project-based opportunities. 
  • Support account managers and outside sales representatives with quote generation, account setup, and customer maintenance. 
  • Collaborate with internal teams to resolve unique customer or project requirements.

Documentation & Training

  • Create submittal packages, maintenance manuals, and support project documentation. 
  • Maintain CRM documentation and training materials. 
  • Support onboarding and training new sales team members.

Cross-Functional Collaboration

  • Partner closely with sales, operations, product management, marketing, planning, and warehouse teams. 
  • Participate in regular business review meetings and assist in resolving operational challenges.

Requirements

What You'll Need to Succeed:

  • Experience using NetSuite, Logicbroker or similar ERP systems.
  • Advanced proficiency in Microsoft Office applications, particularly Excel.
  • Experience with EDI transactions and customer compliance programs.
  • Prior experience in B2B customer service, sales support, inventory management, or administrative operations.
  • Experience supporting retail, eCommerce, marketplace, or omni-channel customers.
  • Knowledge of order-to-cash processes and customer account management.

Physical Demands:

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk and hear. The employee may occasionally lift and/or move up to 40 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.


Work Environment:

While performing the duties of this job, the employee is exposed to the office and warehouse conditions prevalent at the time in terms of temperature/weather. The noise level in the work environment is usually minimal.
