Job description
The Safety and Risk Executive Administrative Assistant performs a variety of administrative and clerical tasks. Duties include providing support to the Dir. of Safety and Risk Management, assisting in daily office needs and managing the department's general administrative activities. Help achieve department and company common goals of providing a safety and secure environment for guests and associates and safeguarding the company from losses while maintaining a positive, cooperative and team-like attitude in working with supervisors and fellow employees. Position also carries some claims management responsibilities.
Responsibilities:
- Deliver excellent service while serving as the dept's receptionist. Manage phone calls, email communication, correspondence, etc. Greet visitors and determine whether they should be given access to specific individuals.
- Provide administrative assistance to the Dir. of Safety and Risk Management and to the Risk Management Department staff and manage or participate in special projects or assigned duties.
- Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and others.
- Attend meetings to record minutes.
- Prepare invoices, reports, memos, letters, files, and other documents, using word processing, spreadsheet, database, or presentation software.
- Use computers for various applications, such as database management or word processing.
- File, scan, organize, trace and prepare documents from meetings, action items, follow-ups, etc.
- Create, maintain, and enter information into databases.
- Set up and manage paper or electronic filing systems, record information, updating paperwork or maintaining documents, such as safety related records, correspondence, or other material.
- Create or assist in the development of reports and other documents.
- Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.
- Assist in the management of programs such as vendor contracts and insurance documents.
- Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.
- Comply with the company's drug-free and tobacco/nicotine-free policy.
- All other duties as assigned.
- 1+ years of administrative experience required.
- Candidate will have to pass grammar/typing test.
- Ability to work a flexible schedule if needed.
- Standard Schedule M-F / 8a-5p
- Able to work in a fast-paced work environment and perform multiple tasks at the same time.
- Ability to sit for prolonged periods of time.
- Ability to communicate verbally and written, fluently in English.
- Ability to type a minimum of 35-45 words per minute.
- Ability to interact with clients and other employees in a courteous, empathetic and professional manner.
- Excellent knowledge of MS Office
- Discretion and confidentiality
- Ability to lift 25 lbs. frequently and up to 50 lbs. infrequently.
- Must be able to legally work in the USA.
- High school diploma or equivalent required.
- State of Florida Adjusters Licensing preferred.
