Description
SUMMARY
The Shipping Coordinator Clerk manages the daily logistics of inbound/outbound shipments, ensuring accurate and timely deliveries. They must coordinate shipments with sales, purchasing, packing, production and freight carriers.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Release and prioritize orders for the shipping team.
  • Quote shipment costs as needed.
  • Prepare and file claims for shipping loss or damage.
  • Review customer chargebacks and dispute if not valid.
  • Contact carriers to schedule pick-ups for outbound shipments.
  • Prepare bill of ladings for outbound shipments, based on customer requirements.
  • Quote and schedule freight for inbound shipments.
  • Create export documents for international shipments (commercial invoice, SLI, certificates).
  • File USFW declarations as needed for export shipments.
  • Work with shipping lead and supervisor on prioritizing orders.
  • Submit routing requests accurately and timely
  • Distribute documents as requested by customers/orders.
  • Maintain accurate records of all freight and international shipments.
  • Prepare USMCA certificate as needed for Canadian shipments.
  • Review vendor guides regularly to ensure compliance.
  • Process Customer returns.
  • Knowledge of all modes of delivery and shipping terms.
  • Regular attendance is an essential function of this position.
  • Comply with all standard safety practices, safety rules and all Company rules and policies.
  • All other duties as assigned.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
  • High school diploma or General Education Degree (GED).
  • One to three years of related experience (e.g., in a shipping, logistics, or administrative office setting) or an equivalent combination of education and experience.
  • Ability to work efficiently in Windows-based environments, data entry, and use standard office equipment (printers, scanners).
  • Strong knowledge of Word and Excel:
  • Excellent Organizational Skills: High attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Independent Worker: Ability to work with minimal supervision and manage own workload.
  • Interpersonal Skills: Good communication skills to interact with internal staff, carriers, and clients.
  • Retail Compliance Knowledge: Understanding of strict shipping routing guides, labeling requirements (barcode scanning, packing slips), and pallet configurations required by major retailers.
  • EDI/Shipping Software: Familiarity with EDI (Electronic Data Interchange) systems or specific shipping software.
  • On-Time Delivery: Focus on accuracy and scheduling to avoid retailer chargebacks.

LANGUAGE SKILLS
Ability to read, write and comprehend simple instructions, short correspondence and memos. Have the ability to effectively present information in one on one and small group situations to customers, clients and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
