Job description

This role is responsible for researching, analyzing, and resolving customer chargebacks, deductions, and payment discrepancies while maintaining positive customer relationships. The ideal candidate will have experience in accounts receivable, cash applications, deductions management, or chargeback processing and possess strong analytical and problem-solving skills.


Responsibilities

  • Research, validate, and resolve customer chargebacks, deductions, short payments, and pricing discrepancies
  • Review customer claims, supporting documentation, contracts, and proof of delivery to determine validity
  • Work closely with customers, sales, customer service, logistics, and accounting teams to resolve disputes in a timely manner
  • Prepare and submit dispute documentation to recover invalid chargebacks and deductions
  • Monitor deduction aging reports and maintain accurate records of all chargeback activity
  • Reconcile customer accounts and identify trends contributing to recurring deductions
  • Process credits and adjustments as approved
  • Assist with cash application and account reconciliation activities as needed
  • Maintain detailed notes and supporting documentation within the ERP system
  • Ensure compliance with company policies and accounting procedures
  • Generate reports and provide updates on chargeback trends, recoveries, and outstanding balances


Qualifications

  • High School Diploma or GED required; Associate's or Bachelor's degree in Accounting, Finance, or Business preferred
  • 2+ years of Accounts Receivable, Chargeback, Deductions, Collections, or Cash Application experience
  • Experience working with retailer chargebacks, customer deductions, or disputed invoices preferred
  • Strong analytical and problem-solving abilities
  • Proficiency in Microsoft Excel, including VLOOKUPs and Pivot Tables
  • Experience with ERP systems such as SAP, Oracle, NetSuite, JD Edwards, or similar
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
