Aeroflow Health – Strategic Programs Manager, Urology (Remote)

Location: Remote (Quarterly travel to Asheville, NC office)

Role Structure: Individual Contributor (No Direct Reports)

Aeroflow Health is a national leader in home medical equipment and clinical services. We combine technology, operational excellence, and compassionate expertise to deliver essential products and care directly to patients’ homes. At Aeroflow Health, we make healthcare accessible by taking a wholistic approach to how we care for our patients.

We are equally passionate about taking care of our employees. As we continue to grow, we remain committed to building an exceptional workplace where talented professionals are empowered, supported, and inspired to make a meaningful impact every day.

The Opportunity

Aeroflow Health is seeking a Urology Operations Program Manager to bring structure, accountability, and momentum to some of the most important operational initiatives within our Urology business.

This is not a traditional project management role.

We are looking for a highly organized, proactive operator who thrives in environments where priorities evolve, stakeholders are busy, and critical work depends on collaboration across multiple teams. This person will serve as a central point of coordination across Operations, Call Center, Billing, Customer Experience, Leadership, and other key stakeholders to ensure initiatives move forward and deliver meaningful business outcomes.

The ideal candidate is someone who naturally creates clarity from complexity, follows through relentlessly, builds strong relationships, and helps teams stay aligned and accountable. They are comfortable asking questions, navigating ambiguity, and bringing calm and structure to fast-moving environments.

Your Primary Responsibilities

Driving Operational Initiatives:

  • Partner with operational leaders and subject matter experts to understand business priorities and translate them into actionable execution plans.
  • Coordinate initiatives across Operations, Call Center, Billing, Customer Experience, and Leadership teams.
  • Assist in defining project scope, priorities, timelines, and success criteria.
  • Support operational rollouts, process improvements, system implementations, and strategic initiatives.
  • Drive measurable progress against key business objectives and operational goals.

Stakeholder Alignment & Accountability:

  • Serve as a central point of coordination across multiple teams and stakeholders.
  • Create clarity around ownership, responsibilities, timelines, and next steps.
  • Facilitate project meetings, working sessions, and stakeholder discussions.
  • Ensure commitments are completed by maintaining strong follow-up, accountability, and communication rhythms.
  • Build trusted relationships with stakeholders and help navigate competing priorities and perspectives.

Project Execution & Continuous Improvement:

  • Develop and maintain project plans, action items, risk logs, and initiative documentation.
  • Proactively identify risks, blockers, and dependencies and work with stakeholders to resolve them.
  • Establish practical project management processes that fit the needs of the business and improve execution.
  • Create visibility into project status, milestones, and outcomes through reporting and stakeholder updates.
  • Recommend process improvements that increase efficiency, consistency, and operational effectiveness.

Compliance & Organizational Responsibilities:

  • Maintain HIPAA and patient confidentiality requirements.
  • Ensure compliance with applicable laws, regulations, and company policies.
  • Maintain regular and reliable attendance as assigned.
  • Perform additional duties and responsibilities as needed.

Skills for Success

Relationship Builder: Able to quickly establish trust and credibility with leaders, subject matter experts, and frontline teams.

Proactive Operator: Identifies issues after they become problems and takes action without waiting to be directed.

Accountability Driver: Comfortable following up, creating feedback loops, and ensuring commitments are completed.

Organized Under Pressure: Able to manage multiple priorities while maintaining exceptional attention to detail.

Comfort with Ambiguity: Thrives in environments where processes are evolving and not every answer is immediately available.

Adaptable Process Thinker: Understands project management best practices and knows how to apply them pragmatically.

Executive Presence: Communicates confidently and professionally with stakeholders at all levels of the organization.

Resilient Professional: Handles competing priorities, constructive feedback, and challenging situations with maturity and professionalism.

Required Qualifications

  • 3+ years of experience in project management, program management, implementation management, operations leadership, consulting, account management, customer success, or similar roles.
  • Demonstrated ability to coordinate initiatives involving multiple stakeholders and competing priorities.
  • Experience driving projects or operational initiatives from planning through execution.
  • Strong organizational, prioritization, and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to build relationships and influence outcomes without direct authority.
  • Experience working in fast-paced, evolving environments.
  • Proficiency with project documentation, reporting, and collaboration tools.
  • Strong problem-solving and critical-thinking abilities.

You Might Also Have

  • Experience in healthcare, DME, payer, revenue cycle, or insurance-related environments.
  • Experience supporting call center or customer support operations.
  • Experience managing client-facing projects or agency-based project work.
  • Exposure to Jira, Confluence, Asana, Monday.com, Smartsheet, or similar tools.
  • Experience supporting operational transformations, process improvements, or system implementations.
  • Experience working within rapidly growing organizations.
  • PMP, CAPM, Agile, Scrum, Lean, or related certifications.

What we look for

You might be a great fit if:

  • You are the person people trust to keep important initiatives on track.
  • You notice when something is falling through the cracks and proactively address it.
  • You are comfortable working with strong personalities and busy stakeholders.
  • You ask thoughtful questions instead of waiting for perfect instructions.
  • You enjoy turning ambiguity into action plans.
  • You know how to build trust and influence without formal authority.
  • You create systems and processes that make teams more effective.
  • You believe follow-up is a skill, not an administrative task.
  • You enjoy bringing order to environments that are growing, evolving, and changing.

This role is especially well-suited for candidates with backgrounds in client-facing project management, agency project management, consulting, implementation management, customer success, operations leadership, account management, or program management.
