Job Description:

We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive support to senior leadership. This role requires a polished professional who can effectively manage executive priorities, coordinate complex schedules and travel, and serve as a trusted partner in a fast-paced environment. In addition to traditional executive support responsibilities, the position will occasionally assist with personal tasks and errands as needed.

Key Responsibilities:

  • Manage and maintain complex executive calendars, including scheduling meetings, appointments, and events.
  • Coordinate travel arrangements, including flights, accommodations, transportation, and detailed itineraries.
  • Prepare and submit accurate and timely expense reports.
  • Screen and prioritize communications, ensuring urgent matters are addressed promptly.
  • Prepare meeting agendas, presentations, and follow-up action items.
  • Coordinate internal and external meetings, including logistics, catering, and meeting materials.
  • Plan and execute company meetings, client events, and special projects.
  • Manage event logistics, vendor relationships, and scheduling to ensure successful execution.
  • Partner closely with Executive Assistants across sister companies to ensure seamless communication and coordination.
  • Assist with special projects and administrative initiatives as assigned.
  • Maintain strict confidentiality when handling sensitive business and personal information.
  • Anticipate executive needs and proactively resolve issues before they arise.
  • Support occasional personal assistant duties, including errands and miscellaneous tasks as needed.

Qualifications:

  • 5+ years of Executive Assistant experience supporting senior-level executives.
  • Strong experience managing complex calendars and coordinating travel.
  • Experience preparing expense reports and supporting executive-level administrative functions.
