WESTERN TITLE DIVISION

Job Description:

Old Republic Title is seeking an experienced Senior Escrow Assistant to join our team! In this role, you'll provide advanced support to one or more Escrow Officers while serving as a key resource for the branch. You'll manage complex residential real estate transactions from opening through closing, help ensure exceptional customer service, and play an important role in mentoring team members and supporting overall workflow. This is an excellent opportunity for an experienced escrow professional who enjoys working in a fast-paced environment, solving complex issues, and collaborating with clients, lenders, agents, and internal partners to deliver seamless closing experiences.

This position has the opportunity to be based out of our Montclair office, Monday-Friday, or be fully remote, depending on experience. Please note that regardless of location, this individual must be available to work West Coast business hours.

What You'll Do

  • Provide advanced escrow support for one or more Escrow Officers throughout the entire closing process.

  • Draw and audit escrow files to ensure accuracy, compliance, and adherence to California escrow requirements prior to closing and policy issuance.

  • Coordinate, process, close, and disburse a variety of escrow transactions, including complex residential and intermediate commercial transactions.

  • Review title commitments and preliminary reports, identify issues, and coordinate the clearance of title requirements.

  • Communicate with buyers, sellers, lenders, real estate agents, attorneys, and other parties to ensure timely and accurate closings.

  • Prepare escrow instructions, settlement statements, closing disclosures, and other required closing documents.

  • Review funding packages, receive lender funds, authorize funding, and disburse proceeds.

  • Verify that all escrow and title requirements have been satisfied prior to closing.

  • Schedule signings and coordinate mobile notary services when needed.

  • Conduct customer document signings and ensure a professional closing experience.

  • Assemble and submit complete title policy packages following closing.

  • Accurately calculate escrow fees, title premiums, recording costs, and other charges.

  • Maintain complete and organized electronic transaction files.

  • Document all transaction activity thoroughly and accurately.

  • Assist with workflow coordination and provide guidance and support to Escrow Assistants and other team members.

  • Support business development efforts by helping maintain strong client relationships and assisting with branch growth initiatives.

  • Participate in company, industry, and networking events as requested.

  • Stay current on industry regulations, company policies, and best practices.

Required Qualifications

  • High school diploma or equivalent.

  • Minimum of 3 years of senior-level escrow assistant experience or 2+ years of experience managing your own escrow desk as an Escrow Officer.

  • Demonstrated experience drawing and auditing escrow files.
    Thorough knowledge of California escrow transactions, forms, practices, and regulatory requirements.

  • Advanced knowledge of residential escrow transactions from opening through post-closing.

  • Strong understanding of title commitments, escrow procedures, and closing documentation.

  • Advanced problem-solving and organizational skills.

  • Excellent customer service and communication skills.

  • Ability to prioritize multiple transactions while meeting deadlines in a fast-paced environment.

  • Proficiency with Microsoft Office Suite and Outlook.

Preferred Qualifications

  • Experience handling complex residential and commercial transactions.

  • Notary Public commission.

  • Knowledge of title insurance policies, endorsements, and underwriting requirements.

  • Strong understanding of accounting principles, including debits and credits.

The estimated pay range stated represents the typical pay range for this position or similarly employed employees or employees performing substantially similar work. Factors which may be used to determine the actual pay rate may include, but are not limited to, education, training or experience; seniority; merit and work performance; quantity or quality of production; regional differences in compensation; differences in local minimum wages, or ability and effort.

Position's Pay Range:

starting at $35.00 an hour, depending on experience.
