Overview

Position Summary

The Administrative Assistant provides comprehensive administrative and clerical support to the Claims team, with a focus on professional liability lines including Healthcare, Errors & Omissions (E&O), Directors & Officers (D&O), Cyber, and Employment Practices Liability (EPL). This role plays a critical part in ensuring accurate claim documentation, timely reporting, and effective coordination among internal stakeholders, insureds, clients, brokers, legal counsel, and third-party vendors.

Location: This role is eligible for fully remote work.


How you'll make an impact

Key Responsibilities:

  • Provide day-to-day administrative support to claims professionals and executive leadership
  • Receive and process incoming Notices of Loss, including First Reports, Supplemental Reports, and Closing Notices
  • Track administrative activities, follow-ups, and deadlines to ensure timely task completion
  • Complete and assist with claim system entries and updates
  • Assist with maintaining organized and accurate electronic claim files
  • Prepare, coordinate, and assist with written and verbal communications to insureds, clients, brokers, attorneys, and third-party vendors at the direction of claims professionals
  • Assist with payment processing for indemnity and expense transactions, including invoice tracking
  • Prepare claim-related reports, loss summaries, loss runs, and bordereaux as requested
  • Ensure adherence to internal claims guidelines, procedures, and documentation standards

About You

Required:

  • High school diploma and 2 years related experience required
  • Working knowledge of Microsoft Windows applications and Microsoft Office

Preferred:

  • 3–5 years of administrative experience, preferably within insurance or claims
  • Prior exposure to professional liability claims terminology strongly preferred
  • Strong organizational skills with exceptional attention to detail
  • Demonstrated ability to handle sensitive and confidential information
  • Effective written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience working with claims management systems
  • General understanding of claims workflows, including indemnity vs. ALAE tracking
  • Proven ability to meet deadlines in a high-volume, time-sensitive environment
  • Strong follow-up skills and commitment to thorough documentation

Work Environment:

  • Remote role with an insurance carrier, MGA, or TPA
