Position Title: Deacon Outreach Coordinator (Temporary Six-Month Pilot Program)

Department: Outreach Priests Department, Parish & Community Services (PCS)

Position Type: Temporary Full-Time, Exempt (Six-Month Pilot Position)

Position Summary:

The Deacon Outreach Coordinator is a temporary six-month position established to assist in the implementation, operation, and evaluation of Cross Catholic Outreach's Outreach Deacon Program. Working under the direction of the Outreach Priest Recruitment Specialist, this position will help develop the operational framework, recruitment pipeline, diocesan relationships, and administrative processes necessary to evaluate the long-term viability of engaging permanent deacons in advancing the mission of Cross Catholic Outreach.

The Coordinator will serve as the primary day-to-day administrator of the pilot program by cultivating relationships with diocesan leaders, recruiting qualified deacons, coordinating outreach opportunities, maintaining program data, and measuring outcomes that will guide future organizational decisions.

Educational or Certification Requirements:

·        Bachelor's Degree or equivalent professional experience preferred.

·        Practicing Catholic with a strong understanding of the teachings, structure, and mission of the Catholic Church.

·        Experience working within diocesan, parish, or Catholic ministry environments is strongly preferred.

Experience Requirements:

·        Three or more years of experience in relationship management, ministry leadership, program coordination, recruitment, development, or a related field.

·        Demonstrated ability to build and maintain professional relationships with clergy and Church leadership.

·        Experience coordinating projects involving multiple stakeholders and deadlines.

·        Experience managing databases, reporting, and administrative processes.

·        Strong proficiency with Microsoft Office applications and CRM/database systems.

·        This position may require occasional domestic and/or international travel to attend meetings, trainings, conferences, or organizational events. Travel may be conducted by airplane, automobile, bus, or other reasonable means. Travel frequency is expected to be limited and scheduled in advance when possible.

Duties:

Program Implementation

·        Assist in implementing and evaluating the Outreach Deacon Program pilot under the direction of the Outreach Priest Recruitment Specialist.

·        Help establish operational processes, workflows, documentation, and best practices for the program.

·        Assist in developing onboarding resources, training materials, and program communications and maintain accurate documentation of program procedures and recommend process improvements.

Recruitment & Relationship Development

·        Research, identify, and recruit qualified permanent deacons interested in serving the mission of Cross Catholic Outreach.

·        Develop and maintain professional relationships with diocesan Directors of Deacons, Vicars of Clergy, and other clergy leaders.

·        Maintain an active recruitment pipeline and ensure timely follow-up with prospective deacon candidates. Coordinate candidate communications, documentation, interviews, and onboarding activities.

·        Represent Cross Catholic Outreach professionally during conferences, diocesan meetings, networking opportunities, and other recruitment events as assigned.

                Program Coordination

·        Coordinate deacon scheduling, assignments, and related administrative support.

·        Maintain the deacon roster, program database, and all supporting records.

·        Coordinate distribution of program materials, training resources, and informational brochures.

·        Collaborate with Parish & Community Services staff and other internal departments to ensure effective communication and operational support.

·        Support liturgical campaign planning and other ministry initiatives involving Outreach Deacons.

Data Management & Reporting

·        Maintain accurate records of recruitment activity, parish engagement, outreach efforts, and program participation.

·        Track key performance indicators, engagement metrics, and other measurable outcomes related to the pilot program.

·        Gather feedback from participating deacons, dioceses, parishes, and internal stakeholders and analyze program data to prepare reports summarizing activities, outcomes, trends, and recommendations.

·        Assist in evaluating the effectiveness of the Outreach Deacon Program and provide recommendations for future growth and long-term implementation.

Mission Support

·        Promote the mission of Cross Catholic Outreach through every interaction with clergy, dioceses, and ministry partners. And support broader clergy engagement initiatives as assigned by the Outreach Priest Recruitment Specialist.

·        Assist with special projects related to clergy recruitment, engagement, and program development.

·        This role requires the ability to perform standard office functions, including prolonged sitting, standing, and computer use. Occasional lifting, carrying, or moving materials weighing up to 20 pounds may be required.

·        This position may require occasional domestic and/or international travel to attend meetings, trainings, conferences, or organizational events.
