Optic Marketing Group is growing, and our team is seeking a Traffic/Project Coordinator for our full-service, fully remote marketing agency. We have built a team of marketers, designers, and developers who work collaboratively to produce exceptional work for our clients across the United States. Our agency specializes in the home services industry and works with HVAC, plumbing, electricians, and roofing contractors.


This role will be responsible for projects and campaigns from conception through implementation, ensuring all projects and campaigns are completed on time, utilize proper resources, and stay within budget. This will require resource planning, budgeting, time management, and coordination between our team members and our client's expectations.

Qualifications

  • The ideal candidate must have superior organizational, communication, analytical, and time management skills as s/he will be expected to manage the deliverables and scope of all our existing client work

  • The ideal candidate will have 1-3 years of applied experience as a project manager or traffic coordinator in an agency environment
  • Strong writing skills are mandatory
  • ClickUp experience is a plus but not required


Responsibilities


Workflow Management Across Multiple Platforms

  • Oversee and manage the workflow of creative design, paid advertising, social media, digital marketing, email campaigns, web design, video production, and more.
  • Ensure seamless integration and coordination across various marketing channels for cohesive client campaigns.

Project Coordination & Multi-Platform Marketing

  • Develop and coordinate comprehensive marketing plans across multiple platforms, tailored to client needs.
  • Collaborate daily with internal teams to execute and refine multi-faceted marketing strategies.

Task Assignment & Resource Management

  • Manage project timelines, budgets, and scopes, assigning tasks to team members based on their expertise and availability.
  • Ensure that tasks are distributed efficiently, avoiding resource bottlenecks and overloading.

Client & Team Collaboration

  • Meet with internal teams to understand project goals, requirements, and deliverables.
  • Act as a liaison between teams to streamline communication and ensure all team members are aligned on project objectives.

Project Scope & Planning

  • Define and manage the project scope, including setting up project timelines, budgets, and milestones.
  • Plan and maintain a project calendar to track deadlines, tasks, and deliverables.

Project Kickoff & Check-Ins

  • Organize and lead project kickoff meetings to set expectations and establish responsibilities.
  • Conduct regular check-ins to monitor progress, address issues, and keep projects on track.

Monitoring Progress & Clearing Roadblocks

  • Track project progress and identify potential roadblocks, implementing solutions to keep the project moving forward.
  • Ensure all team members have the resources they need to complete their tasks efficiently.

Quality Assurance & Deliverable Auditing

  • Audit completed projects to ensure they meet quality standards and client requirements.
  • Double-check all deliverables for accuracy, consistency, and alignment with the project brief.

Communication & Reporting

  • Maintain clear and consistent communication between internal team members to facilitate project execution.
  • Provide regular progress updates to department leads and prepare weekly and monthly operating reports.

Client Budget & Timeline Management

  • Manage project budgets, ensuring projects are delivered within financial constraints.
  • Adjust timelines to accommodate changes, new requirements, or unexpected challenges.
