Job description

The Private Project Manager plans and executes complex, multi-stakeholder personal and household projects for a senior executive, from renovations and relocations to major logistics, events, and special initiatives. The ideal candidate is a disciplined operator who builds systems, manages vendors and budgets, and delivers projects on time and to standard without the technical/software PM focus.

This position is on-site full time in Fort Lauderdale/Miami, FL. We are open to candidates currently based in other major metropolitan markets who can relocate. Experience operating at a NYC-caliber pace with high standards, urgency, and discretion is a strong plus.

Location: Fort Lauderdale/Miami, FL (full-time, on-site)

Schedule: Requires flexibility; occasional evenings/weekends/holidays; responsive to urgent changes

Project Leadership & Delivery

  • Translate the principal’s goals into clear project scopes, timelines, budgets, and success criteria.
  • Manage parallel workstreams across properties, vendors, and internal/external stakeholders.
  • Establish and maintain dashboards, trackers, checklists, and reporting cadence.

Renovations, Relocations & Property Projects

  • Oversee property improvements and renovations (contractor sourcing, bids, schedules, quality).
  • Drive relocations (move planning, packing, transport, set-up, utilities, permits) end-to-end.
  • Coordinate designers, architects, HOA/COA, and specialty vendors; ensure compliance and standards.

Vendor & Contract Management

  • Source and vet vendors; obtain proposals; negotiate terms; ensure SLA adherence and accountability.
  • Manage invoices, change orders, and expense tracking; partner with finance on budgets.

Events & Special Initiatives

  • Plan and execute private events (timelines, budgets, guest experience, on-site management).
  • Lead one-off initiatives (e.g., major purchases, asset set-ups, seasonal changes) from concept to completion.
  • Conduct research and present options/recommendations with clear tradeoffs.

Risk, Quality & Communication

  • Anticipate issues; develop contingency plans; maintain meticulous documentation.
  • Provide concise progress updates and executive-ready summaries.

Qualifications

  • Experience managing complex household/personal/estate/family office projects (renovations, relocations, events, or multi-vendor initiatives) highly preferred.
  • Strong project planning and vendor management (scope, schedule, budget) without a software/IT focus.
  • Excellent stakeholder management and written/verbal communication.
  • Proficiency with project/task tools (Asana/Trello/Sheets), and Google Workspace/Microsoft Office.
  • Demonstrated discretion and trust in high-demand, private environments.
