Base Kids Club is seeking a Regional Operations Coordinator / Site Support & School Liaison to support our after-school program sites across the Matteson, IL area. This role travels site-to-site to ensure programs are running smoothly, supplies are stocked, communication with school leadership is strong, and families receive timely support.
This position is not a director role, is not responsible for staff training, but will assist with recruiting, assist with parent communication, and operational follow-through to keep each site successful and principals confident in our partnership.
Key ResponsibilitiesSite Visits & Operational Support
Travel to Base Kids Club sites to physically check that all licensing and operational supply levels are up to date
Ensure each location has needed materials (games, craft supplies, cleaning items, curriculum resources, etc.)
Help sites stay consistent with Base Kids Club expectations and school guidelines
Identify issues early and communicate needs to leadership before they become problems
School Relationship Support (Principal Satisfaction). Weekly check in with principals to make sure they are OK with how things are going.
Serve as a positive, professional point of contact for principals and school office teams
Prepare weekly Newsletters for Base Kids Club
Parent Support & CommunicationAnswer calls/messages from parents and handle basic customer service questions when director is not there and a quick answer is needed
Route concerns, incidents, and escalations to the correct Site Director
Represent Base Kids Club professionally and provide updates as needed
Assist with recruiting efforts including:Screening calls
Scheduling interviewsCollecting documents and onboarding paperwork support
Reporting & Follow-ThroughSubmit quick site visit checklists/notes to leadership
To keep the role clear and successful, this position is not responsible for:
Training staffWriting lesson plans or managing curriculum
Daily scheduling of staff (unless assigned temporarily due to vacations)
Formal discipline/termination decisions
Minimum QualificationsHigh school diploma or GED (required)
Reliable vehicle + ability to travel between sites (required)
Strong communication and professionalism (especially with principals and parents)
Ability to work independently and solve problems quickly
Organized, dependable, and able to manage multiple priorities
Preferred QualificationsAssociate’s or Bachelor’s degree (education, child development, business, or related)
2+ years experience in:
childcare programs
school-based programs
youth programming
customer service leadershipComfortable using systems like Google Workspace, spreadsheets, and messaging apps
Familiarity with DCFS-exempt school-age programs (helpful but not required)
Understands the importance of relationships and reputation in schools
