The Recruiting Specialist supports the recruiting team by managing administrative processes, tracking, and coordination across contracts, reporting, job boards, residency outreach, conference activity, startup program support, travel/locums workflows, and recruiting systems.


Essential Duties:

Contracts & Tracking

  • Manage contract setup, routing, delivery, and follow-up.
  • Track contract status and ensure timely completion.
  • Follow up on outstanding items or delays (in coordination with Recruiting).

Reporting Support

  • Support preparation of recruiting reports (e.g., MOR reports, activity, presentations).
  • Pull data and maintain report inputs.
  • Ensure data accuracy.

Job Boards & Coordination

  • Keep job postings live, accurate, and up to date.
  • Execute posting updates based on recruiting directions in concert with Marketing.
  • Coordinate with job board vendors.

Residency Outreach

  • Maintain residency program contact lists.
  • Conduct outreach (calls/emails) to schedule meetings and events.
  • Coordinate and track residency-related activity.

Conference & Event Support

  • Coordinate event logistics with recruiting and marketing.
  • Import and organize post-event candidate leads.
  • Assign leads to recruiters and track follow-up completion.

Startup / New Program Support

  • Import incumbent clinician lists.
  • Work with operations to build roles in Salesforce.
  • Maintain incumbent status and staffing trackers.
  • Track hiring progress during program launches.

Travel / Locums Support

  • Track travel contracts and extend agreements.
  • Serve as backup for locums name clears.
  • Systems Support (Salesforce / Assist)
  • Support recruiter use of Salesforce / Assist.
  • Assist with onboarding and training on system workflows.
  • Help maintain data accuracy and consistency.

General Support

  • Maintain trackers and recruiting documentation.
  • Handle follow-up and coordination tasks across recruiting workflows.
Requirements:

Education:

  • Bachelor’s degree in business, communications or related field preferred.

Experience:

  • 5+ years’ experience supporting recruiting operations.
  • Experience in MS Office.
  • Experience with contract management a plus.
  • Experience in Salesforce/Assist or other CRM platforms.
  • Prior event management experience preferred.


Work Location:
