Job description

Position Summary

The Special Education Administrative Assistant provides essential support to the Special Education department by assisting with student records management, compliance, family engagement, and departmental operations. This role collaborates closely with Special Education staff, general education teams, and families to ensure efficient processes and high-quality service for students receiving special education support.

Key Responsibilities

Collaboration & Staff Support

  • Collaborate with case managers, Special Education leadership, and Live Services team members to support student needs, problem-solving, and process improvement.
  • Participate in weekly and monthly team meetings.
  • Support Special Education teachers and paraprofessionals by preparing, printing, and mailing instructional materials for students with IEP accommodations and modifications
  • Attend weekly General Education Records Assistant meetings and serve as a liaison between departments
  • Act as a point of contact for schools and families regarding Special Education records, ensuring clear communication and collaboration.

Special Education Student Records Management

  • Maintain and manage student records using systems such as Pearson Online Classroom, SpEd Forms, and Qmlativ.
  • Ensure records are accurate, complete, and aligned with student academic progress and instructional needs.
  • Process outgoing requests for records for newly enrolled students and respond to incoming records requests for Special Education students in a timely manner.

Family Engagement

  • Assist families with Special Education records-related questions and concerns.
  • Provide support to parents and students, addressing issues appropriately and directing inquiries as needed.

Compliance & Reporting

  • Maintain accurate documentation related to services, referrals, tuition agreements, and Special Education forms.
  • Ensure compliance with state and internal reporting requirements.
  • Facilitate the collection of signatures for the Semi-Annual Certification (SAC) form.

Due Process Support

  • Provide assistance to Due Process Clerks during high-volume periods.
  • Support preparation and processing of documentation, including Notices of Team Meetings, Evaluations, IEPs, and Prior Written Notices (PWNs).

Administrative Support

  • Support the Special Education Director with projects, organizational tasks, and the development and maintenance of internal processes.

Additional Duties

  • Perform other duties as assigned to support the needs of the Special Education department.

Requirements:

  • High school diploma or GED equivalent
  • 1–2 years of similar administrative experience preferred
  • Proficiency with Microsoft Office and web-based applications
  • Proficiency with Google applications (Mail, Calendar, Drive, Hangouts, Documents, etc.)
  • Intermediate skill level in MS Excel
  • Ability to multitask in a fast-paced environment
  • Strong interpersonal skills and attention to detail
  • Excellent communication skills, both verbal and written
  • Ability to maintain privacy and confidentiality (FERPA)

  • High degree of flexibility
  • Demonstrated ability to work well in a fast-paced team environment

Note: The anticipated starting salary for Minnesota-based individuals expressing interest in this position begins at $22.00 per hour.
