We are looking for an experienced Reconstruction Coordinator to join our fast growing team! You will be making an impact each day by keeping our reconstruction projects organized and moving so that our customers can get their homes and lives back as quickly and smoothly as possible.
You are someone with meaningful experience in project coordination, construction administration, or a related field. You know how to manage multiple moving pieces without letting anything slip. You are familiar with permit processes, subcontractor scheduling, and vendor coordination. You have a genuine concern and ability to show empathy for our customers when they may be having one of their worst days, you are at your best.
You are computer savvy and have experience with CRM systems and project management platforms. You thrive in a fast paced environment and are open to learning every day. Your experience in reconstruction, restoration, or construction is a strong plus. You are outgoing, organized, and bring outstanding communication skills to every interaction.
You hold yourself to a high standard and care deeply about the quality of your work and its impact on customers and your team. You are a leader and coach to others and know you are only as successful as those you bring along with you.
Your Primary Responsibilities Reconstruction Coordination:
  • Serve as a primary point of contact for reconstruction customers throughout the project lifecycle
  • Assist the Rebuild Manager and Reconstruction Estimator & Project Manager with day-to-day project operations
  • Track and coordinate building permit applications, status updates, and required inspections with local municipalities
  • Schedule, coordinate, and confirm subcontractor and vendor visits across all project phases
  • Monitor project timelines and milestone progress; proactively flag delays or issues to the project team
  • Maintain organized project files, documentation, and communication logs in CRM and project management systems
  • Prepare and distribute project status reports to customers and internal stakeholders
  • Assist with budget tracking monitor vendor invoices, purchase orders, and project costs
  • Set deadlines and assign tasks to vendors and staff under the direction of the Rebuild Manager
  • Coordinate with mold remediation and water damage restoration teams for smooth project handoffs
  • Track and manage the reconstruction leads pipeline and vendor referral log
  • Adapt quickly to changing project demands and priorities
Secondary Responsibilities Customer Service Support:
  • Answer incoming reconstruction customer calls new leads and follow-ups
  • Document and intake new leads into CRM system
  • Schedule estimator routes, optimizing for geography and customer needs
  • Send contracts for customer signature and track execution
  • Create and maintain production folders and customer files
  • Perform estimate and project follow-ups, escalating to team members as appropriate
  • Track estimator sales activity and maintain sales sheet reporting
  • Other duties as assigned by Owner and Operations Manager
Your Qualifications:
  • 24 years of experience in project coordination, construction administration, or a related field
  • Experience in the cleaning, restoration, or construction industries strongly preferred
  • Familiarity with building permits, municipal inspection processes, and subcontractor coordination
  • Proficiency in CRM systems, project management platforms, and Google Suite / Microsoft Office
  • Excellent communication skills (We are a "communication company" that specializes in restoration!)
  • Ability to multi-task in a complex and sometimes quickly changing environment
  • Genuine empathy for customers and a customer-first mindset
  • Valid driver's license and clean driving record
  • Willingness to undergo background check, drug test, and motor vehicle record pull
  • High school diploma/GED
