Position Summary:
We are seeking a highly organized and detail-oriented Project Coordinator to support the planning, execution, and completion of restoration projects. This role is critical in ensuring smooth communication between customers, insurance representatives, technicians, subcontractors, and internal team members. Restoration industry experience is preferred but not required for candidates with strong coordination or administrative project experience.
Key Responsibilities:
  • Coordinate job schedules, documentation, and communication across departments
  • Act as liaison between field teams and office for project updates and logistics
  • Track job progress and ensure tasks are completed on time and to standard
  • Prepare and review documentation including estimates, work authorizations, and change orders
  • Maintain accurate job files in our job management system (Dash/Fusion/Next Gear)
  • Communicate with homeowners, adjusters, and vendors regarding project updates
  • Assist with collections, billing support, and compliance documentation as needed
  • Help manage inventory of job materials and equipment related to assigned projects

Qualifications:
  • 2+ years of experience in project coordination or administrative support (restoration, construction, or insurance a plus)
  • Strong organizational and communication skills
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Experience with job management or CRM software preferred (e.g., Dash, Xactimate, Luxor)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Positive attitude, team-first mindset, and commitment to customer service excellence

Preferred Qualifications:
  • Knowledge of restoration terminology, insurance claims processes, and industry best practices
  • IICRC certifications or training a plus
  • Bilingual (Spanish/English) a plus
