Job description

Purpose of Job

The Escrow Assistant I provides general office support to the Escrow office to include but not limited to, prepare, package and order escrow information, send instructions to lender, obtain various escrow documents and miscellaneous opening procedures. May serve as a back up to other office staff. Assists with special projects as needed.

Job Duties and Responsibilities (Essential Job Functions)

Common job activities are listed below; actual position responsibilities may vary.  Refer to your manager or human resources for specific duties and performance expectations.

  1. The scope of the Escrow Assistant’s I responsibilities and duties may vary depending on the size of the office/department. The Escrow Assistant I provides various support duties, including: (95%)
    • Miscellaneous opening procedures: prepare start card, proofread instructions prior to disbursing.
    • Send certified escrow instructions to lender.
    • Provide all information required to open a refinance or a resale escrow in general information.
    • Obtain “Legal and Vesting” (L&V) for title.
    • Open title search for a refinance and resale escrow.
    • Prepare and package loan escrow instructions and all documents required in borrower’s opening package.
    • Package preprinted sale escrow instructions and all preprinted documents required in Seller/Buyer package.
    • Properly order demands, beneficiary statements, and homeowner association statements.
    • Accurately prepare receipts.
    • Accurately disseminate information from a given file to the appropriate party (ie. Buyer/Seller/Buyers Agent/Sellers Agent/Lender/Title etc)
    • Print closing statement and HUD-1.
    • Reconcile bank statements, trial balances and subsidiary A/R ledgers. Assist manager in locating errors, filling out manual reports.
    • Print checks.
  2. Perform any additional responsibilities as requested or assigned. (0 – 5%)

  • Follow the company HR Policy, the Code of Business Conduct and all subsidiary and department policies and procedures, including protecting confidential company information, attending work punctually and regularly, and following good safety practices in all activities.

Qualifications

Education:

  • Minimum of high school diploma or the equivalent.

Knowledge and Skills:

  • Previous Escrow Receptionist experience required.
  • Past office/administrative experience of at least six months.
  • Strong personal computer skills.
  • Ability to work independently.
  • Excellent organizational skills with a focus on details to ensure accuracy.
  • Effective oral and written communication skills.
  • Effective analytical and problem-solving skills.
  • Ability to prioritize and handle multiple tasks and projects concurrently.
