WESTERN TITLE DIVISION
Job Description:
Responsible for providing support to the Residential Escrow Officers and team(s) by completing key responsibilities and requirements of the role.
This is a fully on-site position reporting to our Lake Oswego office.
Essential Duties and Responsibilities:
  • Opens new orders.
  • Receipts in escrow funds and send receipt copies to appropriate parties.
  • Provides production and processing support to escrow team(s) on Commercial and/or Residential refinance and sale transactions including clearing liens, ordering demands, distributing commitments/preliminary reports, and ordering surveys as applicable.
  • Upload all documents in appropriate category in the electronic filing system.
  • Prepare funding packages, provide conditions, receipt in lender funds
  • As directed by unit lead, communicates, and confirms information about a transaction with principals, agents, lenders and/or other parties.
  • Task to Central Processing Unit, Title and team members (as available and applicable).
  • Complies with Company policies, procedures, regulatory requirements and completes mandatory company compliance training by prescribed deadlines.
  • At a minimum, the ability to work your scheduled work hours, Monday through Friday.
  • Ability to work overtime as requested by management.
  • Dependable, reliable and punctual attendance is required, which may include in-office attendance or attendance at company, industry or other events that occur outside regular business hours.
  • Ability to accept supervision and direction, as well as constructive feedback.
  • Ability to collaborate and interact effectively and professionally with all levels of management, employees and customers by email, phone, video conferences and in person.
  • Demonstrates courtesy, flexibility, professionalism and is proactive and responsive to supervisor/manager, co-workers and customer needs and expectations.
  • Other duties that may be assigned.

Knowledge and Skills Required:
  • Fully executes and delivers on projects and initiatives in alignment with current role.
  • Stays current with regulations, procedures, and policies by using emerging technologies, learning resources, professional relationships, and other resources.
  • Must be a personable, positive, and professional representative of the Company.
  • Demonstrates courtesy, flexibility, professionalism and is proactive and responsive to supervisor/manager, co-workers and customer needs and expectations.
  • Always maintain the highest level of customer service.
  • Always maintains confidentiality.
  • Thoroughly documents all conversation and actions on a transaction file to ensure clarity, accountability, and transparency in all transactions.
  • Basic computer skills including proficiency in Microsoft Office Suite and Outlook.
  • Ability to work in fast paced environment while successfully performing under extreme time constraints and meets prescribed deadlines.
  • Strong attention to detail with excellent organizational skills, with ability to prioritize and handle multiple tasks and projects.
  • Ability to act independently with sound judgment and take initiative.
  • Written and verbal communications are clear, grammatically correct and business appropriate.
  • Ability to adopt and adapt to changing industry trends, business skills and technology including facilitation and support for the staff to do the same. Will support, cooperate, engage, and contribute to Company goals, projects and initiatives related to technology, production processing standards to meet business needs.
  • Continue escrow education through company training webinars/seminars/meetings.
  • Must have a basic understanding of accounting principles (debits and credits).
  • If applicable, and as directed by management must be able to perform the essential job functions of the Receptionist position; and may be required to back-up and/or assist the Receptionist as needed.
