PeopleShare is seeking a receptionist to join our clients’ dynamic and customer-focused team! The ideal candidate will handle incoming phone calls and live chats, assist customers with orders, resolve issues, and provide exceptional service in every interaction. SCHEDULE: Monday – Friday 8:00am -5:00pm
Starting Rate: $16.00 -$18.00
Job Details for receptionist:
  1. Client Interaction:
Greeting clients and visitors, determine the purpose of their visit, and provide a friendly, polite and professional first impression.
  1. Communication:
Promptly answer and route incoming phone calls, respond to or forward inquiries to the appropriate attorney/staff, and relay messages to attorneys and staff. Maintain regular communication with Firm Administrator.
  1. Scheduling:
Schedule appointments, consultations, and meetings, and manage conference room bookings.
  1. Administrative Tasks:
Perform general administrative duties such as typing, filing, photocopying, scanning, data entry, and managing docketing and calendaring of deadlines or events.
  1. Office Management/Supplies:
Manage office supplies ranging from stationery to lunchroom necessities, including monitoring inventory and placing the orders. Maintain the cleanliness and organization of the reception area, and handle incoming and outgoing mail, faxes, and deliveries.
  1. Confidentiality/Discretion:
Handle sensitive client and case information with discretion and maintain strict
confidentiality in accordance with the Professional Rules of Conduct for attorneys. Handle confidential legal information with the utmost discretion.
  1. Document Handling (Internal and Mail):
Assist with organizing, filing, and maintaining legal documents. Process incoming mail in accordance with the procedures of the firm, including timestamping received mail as a critical function. Manage hand deliveries from clients and deliveries from vendors, including UPS, USPS, FedEx, Amazon, etc.
