Candidates who receive an offer will be required to successfully complete a background check and drug test as a condition of employment.

Records Clerk / Office Services Stamford, CT (Onsite) Shift- 8:00 AM - 5:00 PM 3 months (Temp to perm)

Candidate must have strong communications skills, both written and orally, experience preferred in providing support to Records Management, Mailroom Services, Reception and general office support. Candidate will serve as point of contact for direct daily interaction with customers and key contact. Candidate must be a self-starter, have the ability to multitask, make adjustments as the need dictates, focus on the task at hand and prioritize by urgency of the customer's needs. Candidate must be flexible and have strong Excel, Word and use of Microsoft Outlook and Office 365 office suite. Candidates should have the ability to lift up to 50lbs (sometimes required to lift or delivery boxes).

Qualifications

• Experience in office services, mailroom operations, records management, administrative support, financial processing, or reception support preferred • Familiarity with customer-facing environments and switchboard/reception operations • Strong organizational skills with the ability to prioritize multiple responsibilities • High attention to detail and commitment to operational accuracy • Proficiency with Microsoft Office Suite and operational tracking systems • Strong verbal and written communication skills • Ability to work independently and collaboratively in a team environment

Responsibilities:

Position Summary The Shared Services Specialist supports day-to-day operations across office services, mailroom operations, check processing, reception coverage and progression into records and information management (RIM). This role is responsible for ensuring efficient handling of physical and digital assets, delivering high-quality internal customer service, and maintaining operational continuity through cross-functional support. The ideal candidate is detail-oriented, adaptable, service-driven, and able to manage multiple administrative and operational functions in a fast-paced corporate environment.

Key Responsibilities

Office Services & Administrative Support • Provide operational support for shared services functions, including office services, hospitality support, supply coordination, and general administrative tasks • Support daily office operations to ensure a professional and efficient workplace environment • Assist with conference room readiness, visitor experience, and onsite service coordination • Restocking mailrooms and assisting with copier issues Mailroom & Logistics Operations • Manage inbound and outbound mail, packages, courier requests, and shipping activities • Prepare shipping labels, documentation, and tracking information • Sort, distribute, and process mail and deliveries in accordance with established procedures • Coordinate with vendors and courier services to ensure timely delivery and issue resolution Reception & Customer Service Support • Provide backup reception coverage, including greeting visitors, answering phones, managing visitor access, and supporting hospitality functions • Maintain a professional front-desk presence and deliver exceptional customer service to employees, clients, and guests • Support switchboard operations and direct inquiries appropriately Check Processing & Operational Support • Print, verify, distribute, and reconcile check processing activities • Perform quality assurance reviews to ensure accuracy and compliance with procedures • Support month-end processing and operational reporting requirements Records & Information Management (RIM) • Support records lifecycle management including intake, indexing, storage, retrieval, archival, and secure disposition • Ensure compliance with company retention policies and information governance standards • Maintain accurate tracking systems and documentation for physical and electronic records Collaboration & Continuous Improvement • Partner with internal teams and stakeholders to resolve service-related issues and ensure operational excellence • Participate in cross-training initiatives to support business continuity across shared services functions • Identify opportunities for process improvement and operational efficiency Metasys Technologies is an equal opportunity employer.
