About the Role Real Thai Massage Therapy Wellness Centre is a growing wellness clinic dedicated to providing high-quality massage therapy services in a professional, welcoming, and client-focused environment. Our team is committed to creating a positive experience for every client while fostering a respectful, supportive, and team-oriented workplace culture. We are seeking a part-time Receptionist to join our team and support the daily operations of the clinic.

This role offers up to 30 hours per week and is responsible for delivering exceptional client service and supporting a welcoming clinic environment. Working closely with the Customer Service Coordinator and clinic team, the Receptionist plays an important role in ensuring smooth clinic operations and a consistent client experience. Key Responsibilities Client Service & Front Desk Support Client Experience: Greet clients in a professional and welcoming manner while providing excellent front-line customer service.

Client Communication: Respond to phone calls, emails, and client inquiries in a timely and professional manner. Appointment Coordination: Schedule, confirm, and modify appointments while ensuring booking accuracy and adherence to clinic procedures. Front Desk Operations: Support daily reception activities and maintain an organized and efficient front desk environment.

Workplace Environment: Contribute to a positive, respectful, and team-oriented workplace culture. Administration, Scheduling & Clinic Operations Scheduling Support: Accurately manage appointments, cancellations, rescheduling, and waitlists within the clinic booking system. Payments & Transactions: Process client payments and maintain accurate transaction records in accordance with clinic procedures.

Administrative Support: Assist with opening and closing procedures, documentation, and general administrative tasks. Clinic Readiness: Maintain a clean, organized, and welcoming reception and client-facing environment, including restocking supplies as needed. Team Collaboration: Work closely with the Customer Service Coordinator and clinic staff to support efficient daily operations and consistent service delivery.

Qualifications & Requirements Education: High school diploma or equivalent required. Experience: Previous experience in a customer service, administrative, or front desk role is preferred. Experience in a healthcare or wellness environment is considered an asset.

Technical Skills: Strong proficiency with scheduling systems and standard office software. Experience with insurance billing is an asset. Key Competencies: Strong customer service and communication skills.

Excellent organization and attention to detail. Ability to multitask and work effectively in a fast-paced environment. Strong teamwork and interpersonal skills.
