<\/p>POSITION OVERVIEW

Reporting to the Human Resources & Communications Manager, the Executive Assistant provides high\-level administrative and strategic support to ensure efficient operations within Corporate Services. This role manages confidential information with discretion, supports organizational governance and communications, and contributes to financial tracking, project coordination, and stakeholder engagement. The Executive Assistant plays a key role in strengthening operational effectiveness while integrating culturally grounded practices and Kainai values.
<\/p>DUTIES AND RESPONSIBILITIES

  • Provide high\-level administrative support including calendar management, meeting coordination, correspondence, and follow\-up actions.
    <\/span><\/li>\n
  • Prepare briefing notes, reports, presentations, and meeting materials to support leadership decision\-making.
    <\/span><\/li>\n
  • Coordinate internal and external meetings, including agendas, minutes, and tracking of action items.
    <\/span><\/li>\n
  • Maintain organized and confidential filing systems in compliance with policies and privacy requirements.
    <\/span><\/li>\n
  • Draft, edit, and distribute internal communications, newsletters, and announcements.
    <\/span><\/li>\n
  • Support culturally grounded communications aligned with Kainai values and protocols.
    <\/span><\/li>\n
  • Act as a liaison with internal departments and external partners to support coordination and consistent messaging.
    <\/span><\/li>\n
  • Track expenditures, invoices, and financial commitments; prepare summaries and reports.
    <\/span><\/li>\n
  • Assist with budget tracking, forecasting, and variance monitoring.
    <\/span><\/li>\n
  • Prepare financial snapshots and summary dashboards using spreadsheets or reporting tools.
    <\/span><\/li>\n
  • Support procurement processes, contract documentation, and financial record\-keeping.
    <\/span><\/li>\n
  • Assist with operational planning, documentation tracking, and audit readiness.
    <\/span><\/li>\n
  • Respond to inquiries from staff, community members, and external stakeholders.
    <\/span><\/li>\n
  • Participate in committees, working groups, and organizational initiatives as required.
    <\/span><\/li>\n
  • Identify opportunities to improve administrative processes and enhance service delivery.

    Requirements<\/h3>QUALIFICATIONS
    <\/h3>\n

    • Diploma or degree in Business Administration, Human Resources, or a related field.
      <\/span><\/li>\n
    • Minimum of three (3) years of progressively responsible administrative experience, preferably in HR, communications, or corporate services.
      <\/span><\/li>\n
    • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
      <\/span><\/li>\n
    • Experience working with First Nations communities is considered an asset.
      <\/span><\/li>\n
    • Knowledge of Blackfoot language and cultural protocols is an asset.
      <\/span><\/li>\n
    • Valid Class 5 Driver's License.<\/span>
