Here's the Scoop - Summary

We are looking for a Reception and Site Services Coordinator ( 14 month contract) for our Champion Petfoods corporate office in South Edmonton! This role will help plan and manage site related services in our corporate office as well as reception for any incoming visitors, events or deliveries.

We are looking for someone who is a self-starter who can manage the needs of the office, reception, and other responsibilities without constant supervision.

The ideal candidate is highly organized and will be able to solve problems, communicate effectively, manage their time and priorities, foster teamwork and relationships across the business and is flexible and adaptable to a fast-paced and constantly changing work environment.

This position works out of our corporate office in South Edmonton and reports to the HR Manager.

What a typical day looks like:

  • Perform all reception responsibilities such as greet visitors, direct contractors, corporate shipping/receiving, answer phones, emails, ordering facility and office supplies/equipment, running errands and handle incoming correspondence from customers, suppliers, or partners in a timely and professional manner
  • Oversee corporate shipping and receiving, including preparing packages for shipment, managing inter-office mail, tracking and delivering received packages and mail
  • Manage contracts and appointments and maintain relationships with facility vendors, such as cleaners, couriers, caterers, building security, maintenance, etc.
  • Coordinate and manage the overall services provided at our corporate office
  • Manage and respond to reception calls, site service emails, questions, requests and concerns
  • Maintain inventory and manage the upkeep of equipment and office supplies
  • Responsible for site related items; determine the need for repairs or renovations of office equipment/furniture and maintain facility cleanliness, ensuring it is always pristine.
  • Assist warehouse and finance departments with monthly staff petfood orders
  • Control activities like seating plans, underground parking space allocation, waste disposal, buildingsecurity, etc.
  • Provide HR onboarding support for new hires such as desk set up and organizing new hire swag
  • Help manage and coordinate corporate travel tracking
  • Assist in planning and executing corporate events, celebrations, lunches, catering, etc.
  • Contribute to and enhance corporate culture and the office environment
  • Maintain a safe work environment and organized work area according to corporate policies, procedures and established safety regulations
  • Assist with in-office programs and reports
  • Other responsibilities as assigned

What are we looking for?

  • 3+ years in a facilities coordinator role and strong reception related experience
  • Post-secondary education preferred, but not necessary
  • Physical ability to perform repetitive lifting, with a working knowledge of safe lifting methods
  • Ability and knowledge to handle tools and basic power tools required for minor facility maintenance
  • Some knowledge of provincial and federal occupational health and safety is helpful
  • Able to standard work week (8am to 5pm) but may be required to work some evenings and weekends as needed to ensure service delivery
  • Must have valid drivers licence - ability to travel to other local Champion locations or local stores for food, supplies, etc.
  • First aid certification (or willingness to become first aid certified)
  • Superior relationship, team building, time management and communication skills
  • Ability to plan and manage within budget and time constraints
  • Fluent in English, both written and spoken
  • MS Office Suite experience required, including proficiency with Microsoft Excel
  • Must be able to maintain confidentiality
  • Open to work a 14 month contract
