Essenhaus Foods is a trusted food manufacturer based in Northern Indiana, producing high-quality egg noodles and specialty products in over 8,000 grocery stores nationwide. We're proud to bring tradition and comfort to family tables across the country.
We are seeking a reliable and organized Administrative Assistant to join our team. This position is based in our manufacturing office and is responsible for a wide range of administrative and clerical duties. Responsibilities include entering customer orders, assisting with outbound shipments and logistics, entering production data, and working within our ERP system. The role also involves greeting visitors, answering and directing phone calls, managing office supplies, organizing documents, and supporting various departments as needed. This role is ideal for someone who enjoys keeping operations running smoothly behind the scenes, is comfortable multitasking and has strong attention to detail.

Key Responsibilities:
  1. Customer Order Entry: Accurately enter customer orders into the ERP system and confirm details with the sales or production teams as needed
  2. Logistics Coordination: Assist in coordinating outbound shipments, working with carriers, and preparing shipping documentation
  3. Production Support: Enter daily production data into internal systems and assist the production team with clerical tasks
  4. Visitor Reception: Greet and check in visitors, vendors, and drivers, ensuring they are directed appropriately
  5. Phone Coverage: Answer and route incoming calls professionally; take messages or provide basic company/product information when needed
  6. ERP System Management: Navigate and update information within the ERP system related to sales, inventory, and production
  7. General Office Tasks: Maintain office supplies, organize and file documents (digital and physical), and keep common areas tidy
  8. Communication Support: Draft and send basic emails, letters, or internal memos as requested.
  9. Team Support: Provide administrative support to the GM, Sales, and Production teams as assigned
  10. Confidentiality: Handle sensitive company and customer information with discretion

Skills you'll bring along
