Administrative Assistant

Russell Tobin's client is hiring an Administrative Assistant in Indianapolis, IN.

Employment Type: Contract

Location: Onsite - Indianapolis, IN, 46231

Pay rate: $25-$28/hr

Responsibilities:
  • Serve as the first point of contact for visitors, customers, vendors, and callers, providing professional reception and customer service.
  • Manage incoming calls, messages, mail services, and general administrative tasks to support daily office operations.
  • Coordinate with building management, security, and facilities teams to address maintenance needs and workplace communications.
  • Oversee office supplies, break room inventory, parking passes, and employee security badge administration.
  • Organize meetings, tours, supplier visits, conference room readiness, and presentation materials.
  • Support employee engagement initiatives, office morale activities, recognition programs, and special events.
  • Assist site leadership with scheduling, executive visits, workshops, presentations, and other administrative support functions.
Requirements:
  • Associate Degree required.
  • Previous experience in administrative support, office coordination, receptionist, or customer service roles preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional demeanor with exceptional customer service skills.
  • Proficiency with Microsoft Office Suite and standard office equipment.
  • Ability to manage multiple priorities and work independently in a fast-paced environment.
