Job description

Job Title: Real Estate Operations & Pipeline Manager


Role Overview

We are looking for an experienced Real Estate Virtual Assistant to serve as the "command center" for our sales pipeline. You will be the bridge between our incoming leads and our dedicated Transaction Coordinator, ensuring no opportunity falls through the cracks. While our TC manages the technical contract-to-close process, you will own the CRM (Follow Up Boss), manage scheduling via Calendly, and ensure that every customer is nurtured, informed, and ready for a seamless transition to our closing team. You will be the agent's primary partner in ensuring deadlines are met, files are complete, and the agent remains ahead of the curve.


Key Responsibilities

* CRM Management (Follow Up Boss): Maintain database integrity. Ensure every lead is tagged, nurtured, and moved through the correct pipeline stages.

* Pipeline & Deadline Support: Act as the agent's "second set of eyes." Track upcoming milestones and deadlines, ensuring the agent is always prepared and never misses a critical date.

* Lead-to-Closing Hand-off: Ensure all deals are loaded correctly into our systems and that all collaborators (lenders, title, etc.) are connected. Facilitate the smooth hand-off from lead to the Transaction Coordinator.

* Client Experience: Provide a weekly "touch" to every client in the pipeline. Act as the primary point of contact for routine inquiries and keep the agent fully abreast of all client communications.

* Administrative Excellence: Manage calendars via Calendly/Google Calendar and ensure all documentation is organized and accessible.


Required Skills & Qualifications

* Real Estate Experience: Proven background in real estate office support, lead management, or transaction coordination.

* Tool Proficiency: Expert-level experience with Follow Up Boss is mandatory. Proficiency in Calendly and Google Workspace (Docs, Calendar, Drive) is essential.

* Technical Requirements: Reliable laptop, high-speed WiFi, and the ability to dedicate focused, professional work hours.

* Availability: Minimum of 6 hours per week with the flexibility to respond promptly when clients connect.

* Communication: Exceptional written and verbal skills. You must have the "special ability" to provide high-touch service that keeps clients feeling supported and the agent feeling organized.


Compensation & Commitment

W-2 role


* Base Pay: $18 per hour, first 90 days; then, higher base pay options after 90 days

* Performance Bonus: Opportunity for additional earnings via a per-transaction fee or percentage of commission, paid upon the successful closing of a deal.

* Commitment: This is a part-time position requiring a consistent weekly commitment of at least 6 hours.
