Job description

This versatile Administrative Assistant role provides critical support to a busy administrative team during a major software transition. You’ll be performing data entry, document management, and daily office tasks, ensuring seamless operations and preventing bottlenecks while the core team focuses on implementing new systems. Knowledge of QuickBooks, Acumatica, Inova Payroll, or Aspire is preferred. 


Based in Lynn, MA, this established landscaping organization has been serving the Greater Boston and North Shore areas for over 40 years. It is a fast-paced, high-volume environment that values strong teamwork and is currently investing in comprehensive technology upgrades to streamline its operations.


Responsibilities

  • Support the core accounting and administrative team with daily tasks to alleviate high workloads and prevent operational bottlenecks.
  • Assist with data entry and record-keeping across multiple software platforms, including navigating a transition from QuickBooks to Acumatica.
  • Manage document scanning, filing, and the organization of employee records.
  • Adapt quickly to shifting priorities and handle general office operations with a high degree of self-direction.


Requirements

  • Familiarity with software like QuickBooks, Acumatica, Anova, or Aspire is a strong advantage.
  • Basic understanding of accounting processes.
  • Proven experience in an administrative assistant or general office support role.
  • Highly self-motivated with the ability to work independently and accomplish tasks without constant direction.
  • Excellent organizational skills, a highly positive attitude, and a strong willingness to learn new processes.
  • Previous administrative experience in the landscaping, construction, or commercial service industries is highly preferred.


Compensation & Benefits

  • $25.00 - $30.00 per hour, based on experience.
  • Overtime available.
  • Retirement: 401(k) with up to 4% match (eligible after 90 days).
