Position / Title:  Inventory Specialist Bargaining Unit:   NON-UNION Department/Location: Plant Operations Calendar Days: 260 Reports To: Assistant Director of Planning and Systems JD Revision Date: 04/20/2026 Supervises: N/A

Function / Position Summary

The Inventory Specialist for Plant Operations supports all Plant Operations departments in sourcing and purchasing parts, equipment, and services. This position coordinates vendor quotes, assists with bid and proposal documentation, manages onsite inventory, and analyzes purchasing trends to ensure cost-effective and compliant practices. The role works closely with internal staff, the District purchasing department, and external vendors to maintain efficient operations and adherence to district purchasing policies.

Job Duties / Responsibilities

  • Assist Plant Operations departments in obtaining quotes for parts, equipment, and services.
  • Coordinate and support the preparation of documentation for Requests for Proposals (RFPs) and Invitations to Bid.
  • Serve as the department liaison with the District purchasing department to ensure alignment with policies and procedures.
  • Manage and maintain onsite inventory, ensuring accurate tracking and appropriate stock levels.
  • Monitor and analyze repeat purchases to identify cost-saving opportunities and ensure competitive pricing.
  • Collaborate with vendors to negotiate improved pricing and terms on existing and future purchases.
  • Maintain accurate records of purchases, inventory, and vendor communications.
  • Ensure all purchasing activities comply with district purchasing policies and procedures.
  • Support the evaluation and selection of vendors based on pricing, quality, and service.
  • Assist in developing standardized processes for inventory control and purchasing.
  • Work closely with ESSO team members to support immediate repair and emergency work requests by placing will-call orders for parts and equipment.
  • Support the development and implementation of the District's asset management program by adding and maintaining equipment and building mechanical systems within the computerized maintenance management system (CMMS).
  • Provide administrative and operational support to Plant Operations as needed.

Education

  • High school diploma or equivalent required.
  • Associate's degree or coursework in business administration, supply chain management, or a related field preferred.

Experience / Knowledge

  • Experience in purchasing or inventory management preferred.
  • Familiarity with sourcing processes, including RFPs and bid documentation.
  • Experience working with multiple vendors and negotiating pricing.
  • Strong organizational and record-keeping skills.
  • Proficiency in Microsoft Office or Google Workspace, particularly spreadsheets for tracking and analysis.
  • Experience with asset management or inventory software systems preferred.
  • Ability to analyze data and identify purchasing trends and cost-saving opportunities.
  • Knowledge of public sector or school district purchasing policies is a plus. 

Physical Demands

  • Ability to lift and move materials up to 50 lbs. pounds as needed.
  • Frequent walking, standing, bending, and reaching while managing inventory.
  • Ability to work in warehouse/storage environments as well as office settings.
  • Manual dexterity to operate office equipment and inventory systems.

Terms of Employment

  • This is a 12- month position.  Salary and benefits as established by the Board of Education.
  • The salary range for this position is $54,752.00 - $82,139.00. Our typical practice is to hire in between the minimum and midpoint. ($68,457.00).
