Job Title: Inventory SpecialistJob Description

The Inventory Specialist performs a blend of administrative, inventory, and customer service functions, including receiving and distributing communications, maintaining supplies and equipment, and processing purchase orders using an ERP system. This role supports accurate invoice processing, ensures inventory levels meet operational needs, and provides responsive service to internal and external customers in an office environment.

Responsibilities
  • Receive and distribute communications promptly while maintaining organized records and documentation.
  • Maintain supplies by regularly checking stock levels, anticipating future requirements, placing and expediting orders, verifying receipt of goods, stocking items, and delivering supplies to the appropriate areas.
  • Process purchase orders using an ERP system, ensuring accuracy and completeness of information.
  • Serve customers by processing purchase orders, answering questions, forwarding messages, confirming customer orders, and keeping customers informed of order status.
  • Build and maintain trusting relationships with suppliers, customers, and colleagues through clear communication and reliable follow-through.
  • Perform receptionist duties as needed, including answering phones, greeting visitors, and supporting front office operations.
  • Assist with other projects and tasks as assigned to support departmental and organizational needs.
  • Enter invoices accurately for payment, apply charges to purchase orders, research and resolve any discrepancies, and route invoices for approval when required.
  • Maintain purchase order filing, including acknowledgements and packing slips, to ensure accurate and accessible records.
  • Keep the work area clean, organized, and orderly to support efficiency and accuracy.
  • Demonstrate high attention to detail and effectively manage multiple tasks related to inventory and material numbers.
Essential Skills

  • 6+ months of data entry experience.
